About Exchange Online at IU

Overview

At IU, Exchange Online allows you to access email, calendar, contacts, and tasks from your personal computer, the web, and mobile devices.

Important:

At this time, UITS does not recommend that you use Microsoft's new Outlook. For feature comparisons with the new application, see Getting started with the new Outlook for Windows.

Exchange Online integrates fully with Active Directory, enabling administrators to use group policies and other administration tools to manage its features across their environment. Exchange Online is hosted by Microsoft but managed by the IU Exchange administrators, and meets appropriate security and privacy guidelines for the university environment.

Exchange Online integrates directly into Microsoft Teams at IU, allowing you to schedule meetings and see your Exchange calendar and free/busy information within the Microsoft Teams application. Other Microsoft 365 applications such as Power Automate can also take advantage of the account, storing attachments in Microsoft OneDrive at IU, or setting email triggers on activity.

  • Junk mail retention of 30 days
  • Plus addressing (also known as subaddressing); create unique [username]+[tag]@iu.edu addresses to use when signing up for online services (this can be used for tracking if your email address is given out by others)

Get an account

If you are eligible for an Exchange Online account, you can get one when you create your first IU computing accounts.

To get an Exchange Online account if you already have IU computing accounts, see Get additional IU computing accounts.

Note:
If you are eligible for an account but you are not presented with the option to create it, try the process again. If you still cannot create the account, contact your campus Support Center.

If you are not eligible for an Exchange Online account, a full-time staff or faculty sponsor must contact Tier 2 to submit a request for you. All requests need to meet the following criteria:

  • The email request is sent from the sponsor's account.
  • The message clearly states the request for an Exchange Online account.
  • The request includes the new account holder's username and university status.
Important:

When you create an Exchange Online account, all mail coming from other IU Exchange Online users goes directly to your Exchange Online account, ignoring your preferred address. To avoid overlooking mail that may be in your Exchange Online account, you can do any of the following:

Follow the appropriate instructions for reading your mail.

Notes:
  • UITS recommends enabling Cached Exchange Mode on clients that support it. For more, see About Outlook's Cached Exchange Mode and Online Mode.
  • IU's Exchange Online environment does not support IMAP. If you use Thunderbird or Linux, check the "Owl for Exchange add-on" or "Evolution email client" instructions noted below.

Microsoft recommends using the Outlook app on iOS and Android for better integration with the Exchange Online environment.

Archival and recovery of Exchange Online data

For assistance with accessing Exchange Online email messages and transferring them to another email mailbox, see Keep your Exchange account email messages and calendar appointments when leaving IU. Archival and recovery of Exchange data must be done within 30 days of an account becoming ineligible for Microsoft 365 licensing or the data will be permanently lost.
