In Outlook 2000 and newer for Windows, how can I move contacts from a personal folder to a public folder?
To move contacts from a personal folder to a public folder in Outlook 2000, 2002, 2003, or 2007 for Windows:
- Right-click the public folder, and then select
New Folder.
- Under "Name:", type a unique name for the folder.
- Under "Folder contains:", from the drop-down menu, select
Contact Items, and then clickOK.
- In Outlook 2000 or 2002, choose whether you want to create
a shortcut from the Outlook Bar to the folder.
- Open the contacts folder that you are moving the contacts from,
and then highlight the contacts that you want to move.
- From the
Editmenu, selectCopy to Folder.Note: If you select
Move to Folder, your contacts will be removed from the original folder and moved to the new folder. - In the
Copy Itemswindow, scroll through the folder list and highlight the new folder. ClickOK.
- To open the user access permissions window, in Outlook 2007,
right-click the new folder, and then select
Change Sharing Permissions.... In Outlook 2000, 2002, or 2003, right-click the new folder, selectProperties, and then click thePermissionstab.
- Leave "Default" and "Anonymous" set as "None". (At Indiana
University, "Default" includes anyone at IU who
has an IU Exchange account. You may set that role to Reviewer, if you
want these groups to view the folder.)
- Click
Add, and then use the address book to pick the users or groups (distribution lists) that you want to give access to the folder. ClickOKto return to thePermissionswindow.
- To assign permissions, highlight the user or group in the name
list, click the drop-down menu next to "Permission Level:" (Outlook
2007) or "Roles:" (Outlook 2000, 2002, and 2003), and then assign the
appropriate permissions. As you select a role or permission level,
the checkboxes and radio buttons reflect what permissions that role
grants.
- If you would like a distribution list to be able to see the
folder, add the list and assign it the Reviewer role. Any member of
that distribution list will then be able to view the folder and its
contents. You can add people who need more permissions individually
and assign them more powerful roles.
- Click
Apply, and then clickOK.
