Login is for authorized groups (e.g., UITS, OVPIT, and TCC) that need access to specialized Knowledge Base documents. Otherwise, simply use the Knowledge Base without logging in.

At IU, in Outlook, how do I read my Cyrus or Exchange email using IMAP?

Note: To configure a desktop client to read your Imail or Umail account, see Configuring an email client for Imail or Umail.

On this page:


Outlook 2010

  1. From the File menu, select Account Settings twice.

  2. In the E-mail tab, click New.

  3. In the Add New Account window, select Manually configure server settings or additional server types, and then click Next.

  4. Under "Choose Service", select Internet E-mail, and then click Next.

  5. Under "Internet E-mail Settings":

    1. Under "User Information", enter your full name and your email address.
    2. Under "Server Information", next to "Account Type", select IMAP from the drop-down list.
    3. Next to "Incoming mail server", enter the name of your IMAP server:
      • To access your Cyrus mail account, enter imap.iu.edu .
      • To access your Exchange account, enter imap.exchange.iu.edu .
    4. In the "Outgoing" or "SMTP" server field, type:

      mail-relay.iu.edu
    5. Under "Logon Information", enter your IU Network ID.

      Note: Do not select Require logon using Secure Password Authentication.

  6. Click More Settings, and then, on the Outgoing Server tab, select My outgoing server (SMTP) requires authentication.

  7. On the Advanced tab:

    1. Under "Incoming server (IMAP)", next to "Use the following type of encrypted connection", select SSL from the drop-down list.
    2. Under "Outgoing server (SMTP)", next to "Use the following type of encrypted connection", select SSL from the drop-down list.

  8. Next to "Outgoing server (SMTP):", change the port number from 25 to 465.

  9. Click OK, and then click Next. Outlook will test the account settings, and prompt you to enter your Network ID passphrase:

    • To finish the test, enter your passphrase and click OK.
    • To exit, click Cancel.

    If the test completes successfully, click Close, and then click Finish.

    If the test fails, errors will be listed on the Errors tab. If you cannot fix the errors on your own, contact your campus Support Center for help. Click Close, and then click Finish.

  10. Click Close to close the Account Settings window.

If you have folders in IU Webmail or Exchange via IMAP that don't appear in Outlook:

  1. After following the steps above, and making sure Outlook can download messages from your Inbox, select your (IMAP) Inbox from the Navigation Pane, and then, on the Folder tab, click IMAP folders.

  2. In the IMAP Folders window, click Query.

  3. Click to select a folder you would like to access in Outlook, and then click Subscribe. A folder icon will appear next to the folder you chose. Repeat this for other folders you want to add.

  4. When you're finished, click Apply, and then click OK.

Outlook 2007

When you launch Outlook 2007 for the first time, you will be prompted for your email account settings. To connect to your Indiana University Cyrus or Exchange account using IMAP:

Note: If you primarily use Outlook on campus or over a VPN and you would like to connect with full Exchange functionality, see At IU, using Outlook 2010 or 2007, how do I access my Exchange mailbox?

  1. When you first launch Outlook 2007, you may be prompted to create a new profile. Enter a name for this profile (e.g., Imap) and click OK.

  2. In the Auto Account Setup window, enter your full name, your email address, and your IU Network ID passphrase. Check Manually configure server settings or additional server types and click Next.

    If you are unsure of your exact IU email address, see At IU, what is my email address?

  3. In the Choose E-Mail Service window, choose Internet E-mail and click Next.

  4. In the Internet E-mail Settings window:

    1. Under "User Information", enter your full name and your email address.
    2. Under "Server Information", from the "Account Type" drop-down menu, choose IMAP.
    3. Next to "Incoming mail server", enter the name of your IMAP server:
      • To access your Cyrus mail account, enter imap.iu.edu .
      • To access your Exchange account, enter imap.exchange.iu.edu .
    4. In the "Outgoing" or "SMTP" server field, type:

      mail-relay.iu.edu
    5. Under "Logon Information", enter your IU Network ID. Do not check Require logon using Secure Password Authentication. Click More Settings... .

  5. On the Outgoing Server tab, check My outgoing server (SMTP) requires authentication.

  6. On the Advanced tab, choose SSL from the drop-down menus next to "Use the following type of encrypted connection:" for both your incoming server (IMAP) and your outgoing server (SMTP). Next to "Outgoing server (SMTP):", change the port number from 25 to 465.

  7. Click OK, then Next, and then Finish.

If you have folders in IU Webmail or Exchange via IMAP that don't appear in Outlook:

  1. After following the steps above and making sure Outlook can download messages from your Inbox, go to the Tools menu and choose IMAP folders.

  2. Click Query.

  3. Click each folder you would like to access and click Subscribe. A folder icon will appear after each folder you subscribe to.

  4. When you're finished, at the bottom of the screen, click OK.

Outlook 2002 or 2003

To set up Outlook 2002 or 2003 to access your Cyrus or Exchange email at Indiana University via IMAP:

  1. From the Tools menu, select Email Accounts... .

  2. Select Add new email account, and then click Next.

  3. Choose IMAP, and then click Next.

  4. Next to "Your Name:", enter the name you want to appear in the "From:" headers of email messages you send.

  5. Next to "Email address:", enter your IU email address.

    If you are unsure of your exact IU email address, see At IU, what is my email address?

  6. Next to "User Name:", enter your email username.

  7. Next to "Password:", type your password. If you are the only person with access to your computer, and you want Outlook to save your password, check Remember password. If you leave the box unchecked, you will be prompted for your password each time you send and receive messages.

  8. Next to "Incoming Mail server (IMAP):", enter the name of your IMAP server:

    • To access your Cyrus mail account, enter imap.iu.edu .
    • To access your Exchange account, enter imap.exchange.iu.edu .
  9. In the "Outgoing" or "SMTP" server field, type:

    mail-relay.iu.edu
  10. In the Email Accounts window, click More Settings... .

  11. Click the Advanced tab, and under "Incoming server (IMAP):" and "Outgoing server (SMTP):", check This server requires a secure connection (SSL). Check the box for each server. Change the outgoing server to 465 .

  12. Click the Outgoing Server tab. Check My outgoing server (SMTP) requires authentication, and then select Use same settings as my incoming mail server.

    Note: Do not check Log on using Secure Password Authentication (SPA); this will prevent you from sending mail.

  13. Click OK, then Next, and then Finish.

If you have folders in IU Webmail or Exchange via IMAP that don't appear in Outlook:

  1. After following the steps above and making sure Outlook can download messages from your Inbox, right-click the account name in the folder list and choose IMAP folders.

  2. Click Query.

  3. Click each folder you would like to access, and then click Subscribe. A folder icon will appear after each folder you subscribe to.

  4. When you're finished, click OK or Close at the bottom.

The folders will be listed under the Inbox; you may have to click the + (plus sign) to see them.
