ARCHIVED: In Oncourse, how can I transfer gradebooks to and from a spreadsheet such as Excel?

UITS no longer supports original Oncourse. Oncourse CL is Indiana University's current online course environment.

To transfer (export) an Oncourse gradebook to your workstation so that you can open it in a spreadsheet, follow these steps:

  1. In Oncourse, enter the appropriate course by clicking its title.

  2. Click Tools, then the Online Gradebook(s) link. Select the gradebook you plan to export.

  3. Click Gradebook Tools, then Export Grades, and save the file to your workstation.

    Note: If your browser offers you the option of opening the file directly in your spreadsheet, be aware that your spreadsheet may not be able to open the file correctly unless you have saved it first. The file will appear as a comma-separated variable file named ExportGrade.csv.

If you are planning to edit your file using a spreadsheet, be aware that some alterations to the file, such as adding rows or columns, can make it difficult or impossible to transfer it back to Oncourse. In many cases, it is easiest to use Oncourse itself to enter all the data you intend to display there, and to reserve the spreadsheet for extended, private analysis.

To transfer (import) a comma-separated variable file from your workstation back into Oncourse, follow these steps:

  1. In Oncourse, enter the course from which you originally exported the gradebook.

  2. Click the Tools button, then choose Online Gradebook(s), then choose the appropriate gradebook from the list.

  3. From the links at the top of the page, choose Gradebook Tools, then Import Grades.

  4. In the window that appears, either type the name of your file or click Browse... and choose your file from a list. (Unless you have changed the name of your file, it should still be ExportGrade.csv.) Click Send.

Note: When importing a gradebook into Oncourse, you might end up with a student or students marked as "Not Available". For more information, see the Knowledge Base document ARCHIVED: In Oncourse, can I remove a student listed as "Not Available" from my gradebook?
