ARCHIVED: At IU, how do I configure Exchange ActiveSync on a Windows Mobile 2003 Phone Edition device?

To configure Exchange ActiveSync on a Windows Mobile 2003 Phone Edition device at Indiana University:

Note: These instructions were tested on a Samsung i730. Settings may vary slightly from device to device.

  1. From the Start menu, from the list of programs, choose ActiveSync.

  2. At the bottom of the ActiveSync screen, tap Tools. From the Tools menu, choose Options.

  3. At the bottom of the options screen, tap the Server tab.

  4. In the Sync with this server dialog box, enter www.exchange.iu.edu . Check the box next to This server uses an SSL connection.

  5. After entering the server name and choosing items from the "Sync these items:" box, tap Calendar to select it. Then tap Settings, next to the dialog box. This will allow you to set your calendar to display events within a certain time period (Two weeks, 1 month, 3 months, 6 months, or All). When you're finished, select OK.

    Note: No configuration options are available for Contacts. Synchronization of Contacts is either on or off.

  6. To configure your inbox preferences, select Inbox and tap Settings. Here you can select the number of messages copied to your device as well as the message size and email attachments and attachment size. These settings will affect the amount of memory used on your device and the amount of cellular data used.

    Note: UITS recommends that you limit message sizes and attachments to reduce the amount of cellular data used by your device. You may at any time choose to download the rest of a message by selecting Edit, then Mark for download. You may also mark an attachment for download individually by tapping the attachment icon at the bottom of the email. You will see a green arrow appear next to the attachment icon when it is marked for download.

  7. Next to the Sync with this server dialog box, tap Options... . This will display the Server Logon Credentials page.

  8. Enter your IU username and passphrase; for the domain, enter ADS . If you plan to use timed synchronization, or if you are using the Always Up To Date (AUTD) feature, check the Save Password checkbox. Tap OK.

    Note: The Device Address button is located under the Save Password checkbox. This option is used when the AUTD option is active. The device address is the specific SMS or text message address of your cellular PDA or SmartPhone. This field should be filled in if you plan to take advantage of the AUTD feature within Exchange ActiveSync. Your cellular provider may charge separately for SMS messages.

  9. If you plan to use a timed interval to retrieve your mail, or you plan to use the AUTD feature, tap the Mobile Schedule tab at the bottom of the screen.

  10. On this screen, you have three different timeframes for which you can select how often your mobile device will synchronize with the Exchange server:

    • Peak Time: Normal business working hours
    • Off Peak Time: Weekends or other times you are not in the office
    • Roaming: When your phone is out of your cellular provider's coverage area, where a higher cost may be involved for services

    You can choose a time period as short as 15 minutes or as long as four hours. You can also choose to manually retrieve or download items as they arrive. In order to receive and send items as they are created, you must use the AUTD function. Tap OK to exit back to the previous screen.

  11. You are set up to retrieve your Exchange information via your device's Internet connection. To initialize the synchronization process, tap the green icon with two arrows inside it and the word sync next to it.
