ARCHIVED: If I use Outlook 2003 as an IMAP client, how can I update my personal calendar for DST?

Warning: If you use Outlook to access your Exchange mailbox, do not follow these directions. Instead, see the Knowledge Base document ARCHIVED: At IU, how do I use the Time Zone Checker to update my Exchange calendar?

If you use Outlook as an IMAP client, you can correct all appointments in your personal calendar for the start of Daylight Saving Time (DST) on April 2, 2006, by exporting the appointments and then re-importing them after you change your computer's time zone to Eastern.

Before you modify the time zone setting in Windows, export the appointments to a Comma Separated Value (CSV) format (.csv). Then delete existing appointments that occur between April 2 and October 29, 2006, and re-import them after you update the time zone setting in Windows (as described in the Knowledge Base document In Windows, how do I change the time zone?).

When you export information from the calendar to a CSV file, the local time is used. After the new time zone setting is configured in Windows, the local time in the CSV file is recalculated by using the current time zone settings.

Note: If you have saved email messages or file attachments in an appointment, they will not be preserved when you export the appointment to a CSV file.

Exporting your calendar to a .csv file

  1. From the File menu, select Import and Export... .

  2. Select Export to a file, and click Next. Then choose Comma Separated Values (Windows), and click Next again.

  3. From the list of folders, select Calendar, and click Next.

  4. Under the option "Save Exported File As:", type the path and name of the file you wish to save as the exported file.

  5. Select Do not Export Duplicate Items.

  6. Click Finish, and then OK. This will save the calendar as a CSV file in the given path.

Before you import the data back into Outlook, update the time zone setting in Windows. See the Knowledge Base document In Windows, how do I change the time zone?

To import data from the Personal Folder file, follow these directions:

  1. From the View menu, select Navigation Pane. From the row of buttons, select the Folder List button, and then select Calendar.

Note: You may want to create a new calendar folder and preserve your original calendar for verification.

  2. From the File menu, select Import and Export.

  3. Select Import from another program or file, and then click Next.

  4. Select Comma Separated Values (Windows), and then click Next.

  5. Click the Browse button and find the CSV file you wish to import.

    • If you want the file you're importing to overwrite any duplicate messages, select Replace duplicates with items imported.
    • To allow duplicate messages to be created in the calendar, select Allow duplicates to be created.
    • To keep appointments from being overwritten in the calendar, select Do not import duplicates.

  6. When you're ready to continue, click Next.

  7. Under the Personal Folder file, select Calendar. Select Import Items into Current Folder and click Finish.
