In Cyrus mail, how do I grant access to my shared mailbox?

Indiana University no longer provides a Usenet server for accessing newsgroups. If you are an IU faculty or staff member, you can request a shared mailbox on the Cyrus mail system as an alternative to using a local (IU) newsgroup. See How do I request a shared mailbox on Cyrus?

Shared mailboxes are folders you can give others permission to read. You can also give others permission to insert messages into your shared mailbox.

To grant access to your shared mailbox:

  1. Log into Webmail.

  2. In the menu at the top, click Options.

  3. Under "General Options", click Share Folders.

  4. Using the drop-down list, select the folder you want to share.

  5. Under "Grant access", next to "User", type the IU Network ID username of the person to whom you want to grant access.

Note: You can't grant access to someone who does not have an IU Network ID.

  6. Check the boxes of the permissions you want to grant. The following permissions are available:

    • l: List (i.e., user can see the folder)
    • r: Read messages
    • s: Mark with Seen/Unseen flags
    • w: Mark with other flags (i.e., Important/Answered)
    • i: Insert messages
    • p: Post to this folder (not enforced by IMAP)
    • c: Create sub-folders
    • d: Delete and purge messages
    • a: Administer (i.e., user can set permissions for other users)

  7. Click Create to save the permissions for that user. Or, click Reset to clear your changes; click Return to Options to cancel your changes.

To see who has access to your shared folder:

  1. In Webmail, in the top menu, click Options.

  2. Under "General Options", click Share Folders.

  3. Use the drop-down list to select the folder you want to examine. You'll see the Network ID usernames of the people who have access to your folder, and the permissions each person is granted.

To edit someone's permissions, click the radio button next to the person's username, and then click to mark or unmark the permissions you want to grant.
