In Oncourse CL, how do I associate a course or project site with the Matrices tool?

Associating a course or project site with the Matrices tool in an ePortfolio site enables two features:

  • Roster synching: Allows the roster of the portfolio site to be dynamically updated based on the rosters of associated course and project sites.
  • Assignment linking: Allows instructors to link an assignment in the Assignments tool to one or more cells in a matrix. When students submit the assignment, their submissions are added to the appropriate cells in the target matrix.

Normally, the coordinator or owner of the site containing the matrix creates and removes site associations.

Creating site associations

In the ePortfolio site containing the target matrix (or matrices):

  1. From the menubar, choose Matrices.

  2. From the main Matrices page, choose Manage Site Associations. Sites already associated with the Matrices tool appear on the Manage Site Associations page with the title, site ID, and status for each.

  3. To associate one or more sites, click Add Additional Sites.

  4. You will see a list of the sites in which you are a member. Check the box(es) for site(s) you wish to associate, scroll to the bottom of the page, and click Associate Sites.

    Note: If you can't see the site you want to associate, you can show more sites using the drop-down menu, or use the arrow keys to display the next page. You can also search for a particular site by the site's title or full ID.

  5. You will be prompted to save your selections on the Confirm Site Association Changes page. By default, the Roster Sync box is checked. Leave this box checked if you want the students/members in the associated site to be added to the ePortfolio site automatically. Uncheck the box if you do not wish to synchronize the rosters.

  6. Click Save to confirm your selections.

Once a course is associated with the Matrices tool, any assignment in the course site can be linked to one or more matrix cells in the site with which it has been associated. See Linking an assignment to an ePortfolio matrix cell.

If roster synching is enabled, users in the student, member, or participant role in the associated sites will be added to the ePortfolio site roster and a group will be created for each associated site. When users are added to or removed from the rosters of associated sites, the roster and groups in the ePortfolio site will be automatically updated. It may take a few minutes for these changes to be reflected in the ePortfolio site.

Removing site associations

Note: When a site association is removed, all linked submissions (i.e., linked assignments, matrix cells, and/or wizard pages) will be deleted from the matrices in the current site. In addition, if roster synching was enabled in the previously associated site, members of that site will be removed from the ePortfolio site unless they are members of another synched site or were added to the ePortfolio site manually. Normally, once a site has been associated and students have submitted linked items, the association should remain in effect indefinitely.

To remove site associations:

  1. From the menubar of the ePortfolio site, choose Matrices.

  2. From the main Matrices page, choose Manage Site Associations.

  3. Check the box(es) next to the site(s) in question, and click Remove Association.

  4. Click Remove to confirm the action.

Turning roster synching on or off

You can turn roster synching on or off for associated sites at any time; to do so:

  1. From the menubar of the ePortfolio site, choose Matrices.

  2. Choose Manage Site Associations. Associated sites are listed on the main Manage Site Associations page, and the roster sync status for each site is listed in the "Roster Sync" column.

  3. To change the status, check the box(es) for the desired site(s) and click Roster Sync On or Roster Sync Off, as appropriate.

  4. Click Remove to confirm the action.
