About call delegation

In Skype for Business/Lync, you can designate one or more people (e.g., administrative assistants or receptionists) to answer calls for you. When a delegate answers, you are notified that the call has been answered, along with the name of the person who answered it. Both you and your delegates need to be configured for UniCom Enterprise Voice.

Delegates can:

  • Screen your calls, transferring the calls when appropriate
  • Create or join a voice conference on your behalf
  • Listen to your voice mail and respond, if you share an Outlook Inbox with the delegate

Further, a delegate who uses UniCom Attendant can:

  • Place a person-to-person call on your behalf
  • Initiate a conference call on your behalf
  • Consult with you before transferring a call
Note:
You can configure Skype for Business/Lync either to ring you and your delegates simultaneously, or to forward your calls to your delegates without ringing your phone. Calls will go to your voice mail only if you choose simultaneous ringing.

Skype for Business for Windows

To configure call delegation:

  1. At the bottom of the main window, click the Call Forwarding icon (  The Call Forwarding icon in Lync 2013), and then click Call Forwarding Settings....
  2. Choose Forward my calls to: or Simultaneously ring:, and select My Delegates from the drop-down list.
  3. In the "Call Forwarding - Delegates" window that appears, click Add....
  4. In the window that opens, click a contact, or Ctrl-click to select multiple contacts. Click OK.
    Note:
    Once you've specified your delegates, you can use the checkboxes by their names to set which are active without having to remove and re-add them.
  5. To set a delay before Skype for Business rings your delegate(s), click the drop-down list next to "Ring your delegates after this many seconds:" and choose 0, 5, 10, or 15 seconds. Click OK.
  6. If you chose simultaneous ring, next to "Unanswered calls will go to:", specify the number of seconds before unanswered calls are redirected to voice mail. To ensure calls ring your delegates as intended, this number should be at least 15 seconds greater than the number of seconds in the previous step. If desired, you can also have unanswered calls redirect to somewhere other than your voice mail.
  7. To modify when these settings will apply, click the option next to "These settings will apply:" and choose between All the time or During work hours only as specified in Outlook.
  8. Click OK.

After you've set up a call forwarding arrangement like call delegation, "Call forwarding is on" will be displayed at the bottom of the Skype for Business window.

To turn off call delegation, click the Call Forwarding icon (  The Call Forwarding icon in Lync 2013 or The Call Forwarding icon in Lync 2010 ), and choose Turn off call forwarding.

Lync for Mac

To set delegates in Lync for Mac versions 14.0.6 and later:

  1. In Lync for Mac, under the status message bar, click the Phone tab.
  2. At the bottom of the window, click the call forwarding options icon (the text will vary depending on your current settings). Choose Phone Call Preferences.
  3. Click Edit my delegate members....
  4. Click Add....
  5. Select a contact from the list, or type the contact name in the search bar. Click OK.
    Note:
    Once you've specified your delegates, you can use the checkboxes by their names to set which are active without having to remove and re-add them.
  6. To set a delay before Lync rings your delegate(s), click the drop-down list next to "Ring your delegates after this many seconds:" and choose 0, 5, 10, or 15 seconds. Click OK.
  7. Select Forward my calls to: or Simultaneously ring:, and from the drop-down list next to the option you chose, select My Delegates.
  8. If you chose simultaneous ring, next to "Redirect unanswered calls to:", specify the number of seconds before unanswered calls are redirected to voice mail. To ensure calls ring your delegates as intended, this number should be at least 15 seconds greater than the number of seconds you chose in step 6. If desired, you can also have unanswered calls redirect to somewhere other than your voice mail.
