About the IU Fax Service

The Indiana University Fax Service allows IU faculty and staff to send and receive faxes via a web interface.

Note: This service is not available to students.

Sending faxes

To send an outbound fax:

  1. Go to https://fax.iu.edu/ (requires CAS authentication).

  2. On the next page, fill in the fields as appropriate to send your fax. Keep the following points in mind:

    • Some fields are optional, but you should fill out as much information as possible to help the recipient of the fax, as well as to aid in troubleshooting any problems.
    • Any outbound fax number must contain 10 digits, whether local, long distance, or off-campus.

  3. Click Upload File.

  4. On the next page, you have options to receive email notification when the fax sends, receive notification if the fax fails, or to send a cover page. Select the appropriate boxes.

  5. Click Browse... to select the file you want to fax; the file must be in .pdf, .doc, or .docx format.

  6. Click Send Fax.

  7. If you would like to send another fax to the same recipient, choose Send Another Fax and follow steps 3-6 again.

    Note: You cannot fax more than one file at a time.

Receiving faxes

If you wish to receive inbound faxes, there will be a $17.70 installation fee. (There is no charge for converting an existing fax line.) Email IU Fax Service with a Network ID (or email account) and the fax number you would like to associate with it.

Note: You can use an existing fax number, but this will disable the physical fax machine associated with that number.

When an inbound fax is received, the Network ID or email account associated with the fax number will receive an email notification. Click the URL provided to download the incoming fax in PDF format.

Note: The notification will arrive before the fax is ready to view; it can take up to 5 minutes for the fax to be available. If you try to access the fax and receive an error message, wait a few minutes and try again.

Group faxing

If your group needs to monitor a particular fax line, the line can be associated with an ADS security group or a particular Network ID. Email IU Fax Service with the group's Network ID or ADS security group to be associated with the fax number.

Note: If you are a member of a group that uses group faxing, your outbound faxes will be viewable by everyone in the group.

Viewing your fax history

To view or archive your incoming or outgoing faxes, go to https://fax.iu.edu/ (requires Network ID login). Then, follow the appropriate instructions below:

  • Outbound faxes: Select View my outbound Faxes. You can use search criteria to search for a specific fax. From the outbound history page, you can also view or resend a fax.

  • Inbound faxes: Select View my inbound faxes. You can view and enter notes about faxes.

  • Group faxes: If your group uses group faxing, select View group faxes (where group is your group's name).

Troubleshooting

If you encounter difficulty sending with the IU Fax Service, this may be due to the following:

  • Wrong number: Double-check the recipient's number.

  • Busy fax machine: The fax machine you're sending to may be too busy to accept another fax. Try waiting a bit and sending your fax again.
