At IU, how do I choose my primary email address and preferred email service?

A computing account at Indiana University, whether it's a personal or group account, may have more than one IU email address associated with its username (e.g., username@indiana.edu and username@iu.edu), particularly if that account belongs to a person or group that's associated with more than one IU campus. However, the IU Address Book and the Global Address List (GAL) will display only one email address for a given computing account: its primary IU email address.

The email service that receives mail sent to your personal or group account's primary IU email address is referred to as your account's preferred email service.

Following is information about selecting the primary IU email address and preferred email service for a personal or group computing account at IU.

Important: If your account already has a primary IU email address, and you need to change it (e.g., from  username@indiana.edu  to  username@iu.edu ), to avoid problems with mailing list subscriptions, web site logins, and access to services both inside and outside of IU, you'll need to take several additional steps; see Guidelines for avoiding service interruptions when changing the primary email address for a personal or group computing account at IU.

Your primary IU email address

In most cases, each IU username will have one email address associated with it, and that one email address will be the default primary email address (i.e., the address that appears in the IU Address Book and the Global Address List) for the person with that username.

If you have not yet created your first IU computing accounts, or are a returning IU student with only an Active Directory account, going through the Account Management Service (AMS) Starter Kit will, in most cases, automatically set your primary IU email address, based on your data from the Office of the Registrar (students), the Office of Academic Affairs (faculty), or IU Human Resources (staff). However, because it's possible for students, faculty, and staff to become associated with more than one IU campus, in some cases a username can have more than one IU email address associated it. If you have more than one IU email address associated with your IU username, then you must use the AMS to set your primary IU email address, thereby selecting which email address will be listed for your in the IU Address Book and Global Address List; follow the instructions in this document for Making selections for personal accounts.

Preferred email service

Using the AMS, either when you're creating your first computing accounts or later, you can select the email service you would prefer to use for managing your email (i.e., your preferred email service). The types of IU email services available to you (e.g., Exchange, Cyrus, Imail, and Umail) may vary based on the campus and your status at IU; see At IU, what email systems are available? In some cases, you may be permitted to choose an existing account on a non-IU email service (e.g., Gmail) as your preferred email service.

In simple terms, you can think of choosing your preferred email service as setting a forwarding rule for your primary IU email address (i.e., telling the IU mail system where to deliver messages sent to your @indiana.edu or @iupui.edu email address).

To select or change the preferred email service for your account's primary email address, use the appropriate instructions in this document for either personal accounts or group accounts (e.g., departmental or student organization accounts).

Making selections for personal accounts

Note: This section provides instructions for selecting or changing the primary IU email address (i.e., the @indiana.edu, @iupui.edu, or @iu.edu portion of the email address) and preferred email service for a personal (i.e., individual) computing account:

To select a primary IU email address and/or a preferred email service for your personal computing account at IU:

  1. Using a web browser that supports SSL (e.g., Internet Explorer, Safari, or Firefox), go to the Account Management Service.

  2. Click Manage my IU computing accounts. Log in with your Network ID credentials if necessary.

  3. Click manage your e-mail. On the following page, click set primary e-mail. On the page that appears, you will see your email address and current delivery information.

  4. Next to "Set primary e-mail address to:", from the drop-down menu, select a primary IU email address. If you are or have been affiliated with more than one IU campus, you may see more than one email address (e.g., username@indiana.edu, username@iupui.edu).

    Important: If your account already has a primary IU email address, and you need to change it (e.g., from  username@indiana.edu  to  username@iu.edu ), to avoid problems with mailing list subscriptions, web site logins, and access to services both inside and outside of IU, you'll need to take several additional steps; see Guidelines for avoiding service interruptions when changing the primary email address for a personal or group computing account at IU.

  5. Under "Forward your IU e-mail:", select the appropriate option below for each email address listed:

    • If you want to select a different IU email service for your preferred email service, choose Set the delivery for this address to user's UITS mail account on: , and then, from the drop-down menu, select the appropriate email service (e.g., Exchange, Cyrus, Imail, or Umail).

    • If you want to use a non-IU email service for your preferred email service, choose Set the delivery for this address to: , and then enter the address to which you'd like your IU email forwarded.

      Important: Indiana University provides students, faculty, and staff with IU email addresses, which most academic and administrative offices use to send you messages. If you choose to forward this address to a non-IU account (e.g., Gmail, Hotmail, Yahoo!), the UITS Support Center will not be able to help you with problems concerning that account. More importantly, if this forwarding fails for any reason, you may miss important official communications sent to your IU address for which you are still responsible.

  6. Click Forward email.

Note: Changes may take up to 30 minutes to take effect.

Making selections for group accounts

Note: This section provides instructions for group (e.g., departmental or student organization) computing accounts. If you're selecting a primary IU email address or preferred email service for a personal (i.e., individual) computing account, use the instructions in the previous section.

  1. Using a web browser that supports SSL (e.g., Internet Explorer, Safari, or Firefox), go to the Account Management Service.

  2. Click Manage my IU computing accounts.

    Note: For group accounts, only the account owner is authorized to change the passphrase or other account settings.

  3. Log in using your group account username and passphrase.

    Note: If you're making changes to a group or departmental account, and you're already logged into a Windows computer joined to the ADS domain with your personal Network ID, your browser may automatically use your personal Network ID credentials, thereby preventing you from logging into CAS with your group account credentials. If you have difficulties with CAS, try opening and using a different browser. Alternatively, you can log into your computer with your group account credentials; press Ctrl-Alt-Delete, and click Switch User.

  4. Click manage your e-mail. On the following page, click set primary e-mail. On the page that appears, you will see your group account's email address and current delivery information.

  5. Next to "Set primary e-mail address to:", from the drop-down menu, select a primary IU email address for your group account. If your group is or has been affiliated with more than one IU campus, you may see more than one address (e.g., group@indiana.edu, group@iupui.edu).
