What is UITS policy on computing accounts for IUB and IUPUI student organizations?

Indiana University Bloomington and IUPUI student organizations may possess a Network ID and accounts on UITS computers. An organization may have only one Network ID and the accounts to which one Network ID is entitled. The UITS Accounts Administrator at each campus will assign the username associated with the accounts. However, organizational representatives may suggest an account name. The account name must reflect the official name of the organization.

Use of UITS computing accounts by IUB and IUPUI student organizations is subject to the rights and responsibilities accepted at initial account creation. IUB and IUPUI student organization computing accounts are for the sole and exclusive use of the IUB or IUPUI student organization and its designated members, and may not be used for or by other organizations or individuals not affiliated with the university.

At IUB, to obtain and maintain UITS computing accounts, organizations must be registered with IU's Student Life and Learning. At IUPUI, to obtain and maintain UITS computing accounts, organizations must be registered with IUPUI's Student Life and Diversity Programs (SLDP). In all cases, Student Organization accounts must be sponsored by a faculty or staff member who is ultimately responsible for the account and its use.

Organizational accounts are renewed each year to verify that the organization still exists, that it remains an officially recognized IUB or IUPUI student organization, and that the faculty member agrees to continued sponsorship of the account. Normally, organizational accounts are automatically renewed, unless the faculty sponsor or the account owner leaves the university. In this case, UITS consults with Student Life and Learning or the SLDP office to decide which accounts should be renewed and which accounts should be deleted. Therefore, owners or sponsors of student organization computer accounts need not do anything to renew the account, unless they will be leaving the university. In this case, the student group must find another faculty sponsor or another student to act as the account owner.

Student Life and Learning at IUB and the SLDP office at IUPUI handle changes of faculty sponsorship. The UITS Accounts Administration office is responsible for changes of computer account ownership. The current owner of the account must send email from an IU account to  valid@indiana.edu  at IUB or to  actadmin@iupui.edu  at IUPUI requesting change of ownership. The message should include the owner's name, username, and student ID number, the name of the account to be transferred, and the name of the new owner. If, however, the sponsor has left the university and is no longer affiliated with IUB or IUPUI, the Accounts Administrator will change ownership as long as there is an appointed staff or faculty member willing to assume responsibility.
