ARCHIVED: Configure an email client for Imail or Umail

This content has been archived, and is no longer maintained by Indiana University. Information here may no longer be accurate, and links may no longer be available or reliable.

Both Imail and Umail support connections from email clients using the IMAP protocol. In addition, Imail supports Microsoft Exchange connections when using Outlook. You will need to use your ARCHIVED: Imail vendor password or ARCHIVED: Umail vendor password (not your IU passphrase) to use an email client.

Imail

Important:
Imail was retired on November 19, 2019. You can no longer access your Imail account and its associated services (for example, calendar and contact lists).

Configure Imail using Exchange/Outlook

Note:
For a video demonstration, see Set Up E-Mail in Outlook 2010 or Outlook 2013.

To configure Outlook for Imail using Exchange, it's best to use the Auto Account Setup wizard instead of manually configuring server settings.

To launch the wizard:

  1. Close Outlook if it is running.
  2. From the Start menu, click Control Panel. Look for the Mail icon. If you do not see it, switch your View by: setting to either Large icons or Small icons to reveal it. Click that icon to launch it.

When the wizard launches, use the following:

  • Your Name: Enter the name you want others to see when you send email from this account.
  • E-mail Address: Use username@imail.iu.edu (replace username with your Imail username, which should be the same as your IU username).
  • Password: Use your Imail (Microsoft) vendor password (not your IU passphrase). If you do not know your Imail vendor password, see ARCHIVED: Resetting your Imail password.
Note:
These instructions presume that you don't already have another Exchange account set up in Outlook. If you do, you'll have to create another profile for Imail. For instructions, see Microsoft's How to create and configure email profiles in Outlook. (To use more than one Outlook profile, you'll need to log out of one to access the other.)

Configure Imail using IMAP

To configure your email client for Imail using IMAP, specify the following:

  • Username: Use username@imail.iu.edu (replace username with your Imail username, which should be the same as your IU username).
  • Password: Use your ARCHIVED: Imail (Microsoft) vendor password (not your IU passphrase).
  • IMAP server (or Incoming Mail Server): Use outlook.office365.com. Specify SSL (Secure Sockets Layer) for incoming (IMAP) connections; use port 993.
  • SMTP server (or Outgoing Mail Server): Use smtp.office365.com. Specify TLS (Transport Layer Security) encryption for outgoing (SMTP) connections; use port 587.

If the mail client does not have TLS as an option, select SSL and use port 465 instead for outgoing mail.

Use the same username and password to authenticate with the SMTP server. Do not select Secure Password Authentication.

For complete instructions on configuring supported email clients, see Microsoft's Outlook Web App E-mail Setup.

Umail

Important:
Umail is only for former students who do not have an active status (for example, faculty, staff) and who separated from IU prior to March 11, 2018; see ARCHIVED: About the Umail upgrade. Current students use ARCHIVED: Gmail at IU. If you're unsure about what type of account you have, contact your campus Support Center.
Important:
Umail was retired on November 19, 2019. You can no longer access your Umail account and its associated services (such as email or Sites).

To configure your email client for Umail email using IMAP:

  1. Enable IMAP for your Umail account; for instructions, see ARCHIVED: Enable IMAP for your Umail account.
  2. If you have not already set your Umail vendor password, go to Set your Umail password to do so.

You may not set your Umail password to your current IU passphrase.

  3. To configure your email client for Umail using IMAP, specify the following:
    • Account Name or User Name: Use username@umail.iu.edu (replace username with your Umail username, which should be the same as your IU username).
    • Password: Use your ARCHIVED: vendor (Google) password, not your IU passphrase.
    • IMAP server (or Incoming Mail Server): Use imap.gmail.com.
    • SSL: Specify Secure Sockets Layer (SSL) for incoming (IMAP) connections.
    • SMTP server: Use smtp.gmail.com.
    • TLS: Specify Transport Layer Security (TLS) encryption for outgoing (SMTP) connections; use port 587.

If the mail client does not have TLS as an option, select SSL and use port 465 instead for outgoing mail. Also, use the same username and password to authenticate with the SMTP server. Do not select Secure Password Authentication. Select My Outgoing Server (SMTP) Does Require Authentication.

  4. For additional configuration settings for various clients, see Recommended IMAP client settings in the Gmail Help pages.

If you have difficulties, try the following:

  • In your email client, make sure you entered @umail.iu.edu after your username.
  • Ensure that your mail client isn't set to check for new mail too often. If your mail client checks for new messages more than once every 10 minutes, your client might repeatedly request your username and password.
  • Check whether you can authenticate directly to the Gmail login page using your Google password. If you cannot, try ARCHIVED: resetting your Google password.
  • Try unlocking your account at Umail's unlock CAPTCHA page. When asked for your email address on this page, use username@umail.iu.edu where username is your IU username.
  • If you still cannot access your inbox, contact your campus Support Center.
  • Ensure that your Umail account is set to allow less secure apps; for instructions, see Allowing less secure apps to access your account. (Google lists Outlook as unsecure, and so this setting needs to be turned on to successfully connect.)
