ARCHIVED: Migrate Imail messages to Gmail at IU

Before you begin
Important:
Imail was retired on November 19, 2019. You can no longer access your Imail account and its associated services (for example, calendar and contact lists).
You have two options for migrating your Imail account to your Gmail at IU account:
- Online migration (simple): This option will not preserve the folder structure of your Imail account; however, it is simpler and does not require any external tools, only your Gmail at IU account.
- Advanced migration (advanced): This option is more difficult to set up, but preserves your Imail folder structure during the transfer. You'll need to download the free Mozilla Thunderbird email client from https://www.thunderbird.net/en-US/.
Online migration (simple)
- Log into Imail at https://imail.iu.edu, and drag all mail that you wish to move to Gmail at IU into the Imail Inbox.
Note:Any mail you leave in Imail folders and subfolders will not be moved during the import process. This includes items in the
Drafts
,Sent
,Trash
, andSpam
folders. If you want to preserve messages from any of these folders, be sure to drag them to the Imail Inbox. - Log into Gmail at IU at https://gmail.iu.edu/.
- To go to Google Settings, at the top right, click the gear icon (), and then click .
- Click the tab, and next to "Check mail from other accounts:", click .
- In the "Email address" field, enter your full Imail email address (
username@imail.iu.edu
), and then click . - Enter your Imail vendor password (not your IU passphrase) in the appropriate field. Make sure to select , , and .
Important:To avoid irreversible data loss, be sure to select. Additionally, UITS cannot support your results unless all three boxes are selected.
- Click
- Log into Gmail at IU, and click the gear icon ().
- From the tab, next to "Check mail from other accounts", click .
. You'll need to allow 48 hours for the migration to complete, but during that time you can check your import's progress:
- After the import process is complete, log into your Gmail at IU account to verify that all your messages transferred from your Imail account.
- If the import was successful, disconnect any apps on your computer or devices that connect to Imail, and ARCHIVED: configure apps on your computer or devices to connect to your Gmail at IU account.
- If the import wasn't successful (if some or all of your messages aren't there), or if you have related questions or issues, contact the Mail Migration team at 812-855-6789 option 9, or 317-274-4357 option 9.
Thunderbird migration (advanced)
Note:
Before following the steps below, install the free Mozilla Thunderbird email client from https://www.thunderbird.net/en-US/download/.
- Enable IMAP in your Gmail account:
- Sign into your Gmail at IU account at https://gmail.iu.edu.
- To go to Google Settings, at the top right, click the gear icon (), and then click .
- Select the tab.
- In the "IMAP access:" section, select .
- Click .
- Add your Gmail at IU account to Thunderbird:
- Under , select , and then click .
- In the "Email address:" field, enter
username@xmail.iu.edu
, which is your Gmail at IU address; don't enterusername@iu.edu
or any regional campus variants. - In the "Password:" field, enter your IU passphrase.
- Click
Log in with your IU username and passphrase.

- On the "Choose an account from iu.edu" screen, select your
username@iu.edu
address, and click . - Allow time for Thunderbird to finish syncing your account. This could take several minutes or longer, depending on the volume of mail in the account.
- Under , select , and then click .
- In the "Email address:" field, enter
username@imail.iu.edu
. - In the "Password:" field, enter your ARCHIVED: Imail vendor password (not your IU passphrase), and then click .
- Click to finish adding the account.
- Allow time for Thunderbird to finish syncing your account. This could take several minutes or longer, depending on the volume of mail in the account.
- To manually select which mail folders to access:
- Select the desired mail account in the left sidebar and then, under , choose .
- Check the boxes for the desired folders and click .
- To automatically access all mail folders:
- Select the desired mail account in the left sidebar and then, under , choose .
- Go to and select , and then uncheck .
- Repeat these steps for both accounts added.
- For messages in the main
Inbox
folder, useCtrl+A
(cmd+a
on Mac) to select all messages, and drag them into theInbox
or other desired folder of your Gmail at IU account. - For all other folders, use the
Shift
key to select multiple folders, then click and drag them over to the Gmail at IU account. - Repeat this process until everything has been transferred to your Gmail at IU account.

Preserve your contacts
If you want to preserve your contacts from Office 365:
- To export your contacts from Office 365, follow the instructions in Export contacts from Outlook.
- To import your contacts into Google, follow the instructions in Add, move, or import contacts.
