Description: The UniCom project at Indiana University is a plan to replace all legacy telephone systems and devices on all campuses with an enterprise-ready unified communications platform, specifically Microsoft Lync.

With Microsoft Lync, users can keep track of their contacts' availability; send an IM; start or join an audio, video, or web conference; or make a phone call, all through a consistent, familiar interface.

Previous versions of Lync (Live Communications Server and Office Communications Server) were trialled throughout the university successfully in 2009-10. Lync was released in late 2010, allowing for a viable enterprise service offering and a complete phone system replacement. Infrastructure was built in the summer of 2011 to facilitate the migration of voice services to the Microsoft Lync environment. Now it is time to begin planning for the transition to Microsoft Lync 2013, which will take place in 2014.

Outcome: The goals of the UniCom project are twofold:

  • Migration of all university legacy voice services and endpoints to Microsoft Lync. IUK, IUN, IUS, IUE, IUPUC, and IUSB have been completed. IUB and IUPUI will have 80% of all voice endpoints migrated by July 1, 2014. This will allow for the replacement of carrier-class legacy phone switches with smaller, more efficient phone switches that will serve needed analog lines for emergency purposes, credit card transactions, and other special cases.   • Promotion of unified communications and education of staff in its use, which will help facilitate collaboration, increased productivity, and improved communication.

Milestones and status:

  • Project started March 2011; migration of users at IUB and IUPUI continues
  • September 2014: 26,561 total Lync users
  • September 2014: 15,067 Lync Enterprise Voice users system-wide
  • September 2014: 11,494 Lync Basic users system-wide
  • Build the Lync 2013 test environment Completed
  • Configure Lync 2013 Production Environment Completed
  • Configure SBC integration and SIP trunking Completed
  • Pilot testing Completed
  • User migrations Completed
  • Decommission Lync 2010 infrastructure Completed

Benefits: The UniCom project will provide communication tools to faculty and staff for better collaboration, better communication, and increased productivity. Faculty, staff, and students will have multiple modes of communication to facilitate interactions internal and external to the university, including the ability to:

  • Access and share video on the desktop, on the road, and on demand, as easily as making a phone call
  • Facilitate better team interactions, dynamically bringing together individuals, virtual workgroups, and teams
  • Make mobile devices extensions of the corporate network, so mobile faculty and staff can be productive anywhere
  • Innovate across the university by integrating collaboration and communications into applications and business processes
