Add or change your profile picture for Outlook and other Microsoft services

Where your picture will appear

At Indiana University, when you add your picture using Outlook on the web or your SharePoint My Site profile, it is automatically copied to the IU Active Directory, which makes it visible in other applications that use Active Directory Services (ADS). Do not consider this list comprehensive; Microsoft could integrate pictures stored in ADS into other applications at any time:

  • Outlook: Your picture will appear on the header section of messages you send to IU Exchange users.
  • Skype for Business: Your picture will be displayed by default when your name appears in the results of an address book search, but you can configure the application to not show your picture.
  • Microsoft Teams: Your picture will be displayed next to your posts.
  • Microsoft 365: Your picture will be displayed next to your comments.
Note:
  • After you modify your picture, it may take up to 24 hours for the change to appear in all applications.
  • To see your new picture in Microsoft Teams, you may need to sign out and then sign back in. Other users also may have to sign out and sign in again to see your new picture.

Add or change your picture

  1. Log in to Microsoft 365 at IU or Outlook on the web. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not click anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.
  2. In the top right corner, click the picture icon (Account manager).
  3. In the window that opens, click the picture icon (Add or change your picture) to the left of your name.
  4. Under "Change your photo", click Upload a new photo, and then browse to find and select the image file you want to use.
    Note:
    Your picture can be up to 648 x 648 pixels, and the maximum file size limit is 240 KB. If your picture needs to be cropped and/or resized, you must edit it before uploading it.
  5. Follow the prompts to complete the process.

Remove your picture

To remove your picture, use Microsoft Teams:

  1. Launch the Microsoft Teams desktop app, or log in to Microsoft 365 at IU and launch the online version from the app launcher.
  2. In Microsoft Teams, click the picture icon (Account manager) in the top right corner.
  3. In the window that opens, click the picture icon (Change profile photo) to the left of your name.
  4. Under "Change your profile picture", click Remove picture.
  5. Click Save and then Close.
