ARCHIVED: In Outlook, how do I set up a resource to stop declining conflicting appointments?

In preparation for Daylight Saving Time (DST), not all calendar users will simultaneously update their meeting requests to reflect DST. As a result, some calendar items may appear to conflict that are not actually at the same time; these apparent conflicts will resolve when all affected users have updated their meeting requests.

If you manage an Exchange calendar for a resource and have it set up to automatically decline conflicting appointments, you might want to temporarily change that setting so it will automatically accept conflicting appointments during the transition of users' calendars. Follow these steps:

  1. Log into a Windows workstation as a user who "owns" the resource.
  2. In Outlook, from the Tools menu, select Options.... Click the Preferences tab.
  3. Click Calendar Options....
  4. In the window that appears, under "Advanced options", click Resource Scheduling.... Deselect Automatically decline conflicting meeting requests and process cancellations.

    Leave Automatically accept meeting requests and process cancellations checked.

Note: Be aware that genuine conflicts may arise that will need to be resolved.

You will probably want to reset the resource calendar to decline conflicting appointments after a month or so. Follow the above steps but select Automatically decline conflicting meeting requests and process cancellations.
