Check your mode

In Outlook 2000, to download a folder from an IMAP server (e.g., from your Cyrus mail account at Indiana University) for offline viewing, you must be using Outlook in Internet Mail Only mode. To check your mode, from the Outlook Help menu, select About Microsoft Outlook. Your mode is listed just below the version number. Make certain that Outlook is in Internet Mail Only mode.

Set up access to your IMAP server

Next, you need to set up Outlook 2000 or Outlook Express to access your Cyrus mail account:

  1. Start Outlook 2000 or Outlook Express. From the Tools menu, select Accounts..., and then click the Add button.
  2. To start the Internet Connection Wizard, select Mail.... When you are prompted for your "Display name", enter your full name, and click Next.
  3. Select I already have an email address I'd like to use, and enter your IU email address. Click Next.

    If you are unsure of your exact IU email address, see Your IU email address.

  4. For the incoming mail server type, select IMAP. For the name of your incoming mail server, type imap.iu.edu.
  5. In the "Outgoing mail (SMTP) server:" field, if you are located on any IU campus except IPFW (which uses the POP protocol and its own SMTP servers), or are dialing into the IUB or IUPUI modem pools, type:
      mail-relay.iu.edu

    Click Next.

  6. Type your username. If you want the system to remember your password, enter your password (don't do this if anyone else can access your computer). Otherwise, deselect the Remember Password checkbox. Leave Log in using Secure Password Authentication unchecked.
  7. In Outlook Express 4 (but not 5), it will also prompt you for:
    1. "Friendly name:" Enter something you associate with the server and account. A good example would be "Work Email" or "My Cyrus Account".
    2. "Connection type:" Choose the connection type as follows:
      • Choose Connect using my phone line if you want to dial in automatically when you start Outlook or Outlook Express.
      • Choose I will establish my Internet connection manually if you usually connect with Dial-up Networking or the Communications Software available from IUware before you start Outlook or Outlook Express.
      • Choose LAN if your computer has a direct Ethernet connection.
  8. Click Next, and then click Finish.
  9. For Outlook 2000, from the Tools menu, select Email Accounts....

  10. In the Accounts window, click the Mail tab, highlight the account you wish to edit, and click the Properties button.
  11. Click the Servers tab, and, under "Outgoing Mail Server", select My server requires authentication.
  12. Click the Advanced tab, and, under both "Outgoing mail (SMTP)" and "Incoming mail (IMAP)", select This server requires a secure connection (SSL).

Download the folder

Note: These directions apply to Outlook 2000 and versions of Outlook Express prior to version 6. If you are using Outlook Express 6, see the directions in the "Outlook Express 6" section, below.

To download a folder from the IMAP server, do the following:

  1. In the Folder List, click the Inbox of the account from which you want to download folders.
  2. From the Tools menu, select Download, and then click Folder List.

    Note: In the IMAP Folders dialog box, if When displaying hierarchy in Outlook, show only subscribed folders is checked, only the folders you are subscribed to will display when you download folders. (You can access this dialog box by selecting IMAP Folders from the Tools menu.)

  3. To download all of the items in a folder:
    1. In the Folder List, click the folder that contains the items you want to download.
    2. From the Tools menu, select Download, and then click All Items.
    3. You will need to select each individual folder and then select All Items.

  4. To download only some of the items in a folder:
    1. In the Folder List, click the folder that contains the items you want to download.
    2. Select the headers of the items you want to download.
    3. From the Tools menu, select Download, and then click Selected Items.

To check whether the items have been downloaded, look at the icon representing the download status. If the download was successful, this icon will resemble a full piece of paper instead of a half piece of paper.

Outlook Express 6

To download all of the items in a folder in Outlook Express 6, from the Folder List, click the folder that contains the items you want to download. Then, from the Tools menu, select Mark for Offline, and click Download all messages later. After the next time you click the Send/Receive button, all messages marked for download will be downloaded and available offline.

To download only some of the items in a folder in Outlook Express 6, from the Folder List, click the folder that contains the items you want to download. Then right-click the headers of the items you want to download, and from the New Window menu, select Download message later.
