At IU, how can I access my Exchange account on my iPhone?

By connecting your iPhone to your Indiana University Exchange account via Exchange ActiveSync, you can synchronize your Mail, Contacts, and Calendars over both Wi-Fi and cellular networks; this data is pushed to the iPhone automatically, so you do not need to manually update. Additionally, you can now manage some aspects of your iPhone through Outlook Web Access; see In Outlook Web Access, how can I manage my Exchange ActiveSync device?

Exchange ActiveSync requires an AT&T iPhone data plan. IU students, faculty, and staff are eligible for discounts on service plans for the iPhone 3G through AT&T; however, the original iPhone (released in June 2007) is not eligible for a service discount. See the AT&T Wireless agreement.

You can still connect to Exchange through IMAP as well; see At IU, how can I read my email on my iPhone or iPod touch through an IMAP connection? However, you will not be able to take advantage of advanced features with an IMAP connection.

Follow the directions in the sections below to set up your iPhone with Exchange, verify time zone settings, and set a default email account if necessary.

Setting up your iPhone to use Exchange ActiveSync

To set up your account, you should have a reliable Wi-Fi Internet connection. When you finish entering your mail settings, the iPhone will check them by connecting to your account. Note: Before storing personal information in your iPhone or iPod touch, the University Information Security Office strongly recommends configuring a passcode. See With an iPhone or iPod touch, how can I secure my data?

  1. From the main screen, tap Settings; scroll down and tap Mail, Contacts, Calendars to access the mail setup screen.

  2. If you have been using IMAP to connect to Exchange, select that account and remove it. To create your new Exchange account setup, tap Add Account... .

  3. On the "Add Account..." screen, select Microsoft Exchange.

  4. On the "Exchange" setup screen, enter the appropriate information:

    • For "Email", enter your full IU email address.
    • For "Domain", enter ADS .
    • For "Username", enter your Network ID username.
    • For "Password", enter your Network ID passphrase.
    • For "Description", enter anything you wish.

    Note: To access numbers and some special characters with the on-screen keyboard, tap the .?123 button; for the backslash ( \ ) and additional special characters, tap the #+= button to the left of the period on the number keyboard. To use uppercase characters, tap the up arrow to the left of the Z.

  5. Tap Next; on the same screen, the "Server" field will appear beneath "Email". If the field is not already filled in, enter www.exchange.iu.edu , and then tap Next again.

    Your iPhone will now verify your Exchange account settings. If you are not on a Wi-Fi network, this could take some time.

  6. You will see options to turn on or off synchronization for Mail, Contacts, and Calendars. These settings will be on by default.

  7. Tap the Save or Done button. This will take you back to the "Mail, Contacts, Calendars" mail setup screen.

This will configure your iPhone to use Exchange; your iPhone should begin synching with your Exchange account immediately.

Verifying your time zone settings

  1. On the "Mail, Contacts, Calendars" screen, scroll to the bottom. If Indianapolis or a nearby city for your time zone is not selected, select Time Zone Support.

  2. Tap Time Zone.

  3. In the text entry field on the "Time Zone" screen, enter the letters for a city near you in a time zone you want to choose. It is only necessary to enter a few letters of the city name before a listing will appear below the text entry field.

  4. Select the city for the time zone you want. This will take you back to the "Mail, Contacts, Calendars" setup screen.

Setting a default email account

If you access multiple email accounts through your iPhone, you will want to set one as the default account. A default account is the one that will be automatically used when you want to send mail or make a calendar entry. You can still use other accounts at any time, but this setting makes your primary account the first option.

  1. From the main screen, tap Settings; scroll down and tap Mail, Contacts, Calendars to access the mail setup screen.

  2. Scroll down until you find "Default Account". If your desired default account is not selected, tap Default Account and select the appropriate account from the list.
