Using Mac OS X 10.7 (Lion) or 10.6 (Snow Leopard), how do I configure my Cyrus (Webmail) or Exchange mail?

Note: To configure a desktop client to read your Imail or Umail account, see Configuring an email client for Imail or Umail.

Note: If you are using Mac OS X 10.5 or earlier, see At IU, in Mac OS X 10.5 (Leopard) and earlier, how do I configure Mail to read my Cyrus (Webmail) or IU Exchange mail through IMAP?

Mac OS X has a built-in email client called Mail. Normally this is located in the Applications folder, but you can also launch Mail from the Dock.

Warning: When mail is deleted from Mac OS X Mail, the messages go to the Trash folder as usual. However, messages deleted from that folder do not go to the Exchange retention area, and they are not recoverable. Additionally, mail that is hard-deleted via Option-Delete skips the Trash folder and also does not go into the retention area.

If you have not entered any Mail or MobileMe settings in your System Preferences, a Mail setup window will appear the first time you start Mail. If the window doesn't appear, from the Mail menu, select Preferences... . Then, in the preferences window, click the Accounts icon, and in the bottom left corner, click the  +  (plus) button.

In the "Welcome to Mail" or "Add Account" window, enter your account settings:

For an Exchange account:

  1. In the first window, enter your name in the "Full Name:" field. In the "Email address:" field, enter your full IU email address; see At IU, what is my email address?

  2. In the next window, your settings should be automatically filled in. You will also have the option of automatically configuring iCal and Address Book. Click Create to complete your account setup.

For a Cyrus account:

  1. In the first window, enter your name in the "Full Name:" field. In the "Email address:" field, enter username@imap.iu.edu .

  2. In the Incoming Mail Server window:

    • From the "Account Type:" menu, select IMAP.
    • In the "Description:" field, enter a descriptive name for your account (e.g., Cyrus).
    • In the "Incoming Mail Server:" field, enter imap.iu.edu .

    Click Continue.

  3. In the Outgoing Mail Server window:

    • Next to the "Description:" field, type a descriptive name (e.g., IU mail relay).
    • For your outgoing mail server, type mail-relay.iu.edu .
    • Check Use Authentication. Your username should already be entered.

Click Continue and then click Create.

  4. If the Account preference window isn't open already, from the Mail menu, select Preferences...  and then in the toolbar, click Accounts. Under the Account Information tab, change the field next to "Email Address:" from  username@imap.iu.edu  to your full IU email address; see At IU, what is my email address?

  5. Click the Mailbox Behaviors tab and uncheck Move deleted messages to the Trash mailbox.

Note: This is the simplest option for removing unwanted messages, and it makes Mail behave the same way Webmail does. When you delete a message, it will either disappear from the listing or become grayed out. To permanently remove deleted messages, first make sure you are viewing the list of messages in your account. Then, from the Mailbox menu, select Erase Deleted Items. If you would rather move deleted messages to a folder you can empty periodically, see In Mac OS X, how do I get the Mail application to remove messages I delete?

  6. You can choose to store draft messages, sent messages, notes, or junk messages on the server by checking the appropriate box(es).

You can also select an alternate folder later for storing these messages. Choose this folder in your folder list; if you don't see your folder list, go to the View menu, and Show Mailbox List or Show Mailboxes. With the folder you want to use selected, from the Mailbox, select Use This Mailbox For. Then, choose the relevant option.
