ARCHIVED: Using Oncourse CL Official Final Grades, how do I import grades from a spreadsheet?
Note: To submit grades for a class for fall semester 2008 or later, use the ARCHIVED: SIS Grade Roster tool. The Official Final Grades tool is still available in course sites from previous semesters, but cannot be added to course sites for any semesters later than summer 2008.
To import grades from a spreadsheet into the Official Final Grades tool:
- In the menubar of the relevant site, click .
- Under "Import Grades", select
Clicking
generates a CSV file, which you can save to your computer, add grade information to, and then upload into Official Final Grades. The generated CSV file includes course information in the following columns:- Username: The most current list of student usernames for your course
- Name: Full names of your students,
listed in
LastNameFirstName
format (i.e., no comma between last and first name) - Final Grade: Column for entering your grades
Note: If you are downloading the spreadsheet template for several sections or several courses, you can rename the CSV file to help you keep track of which file goes with which course.

template that's provided; click .
- Open the CSV file in your spreadsheet application, enter your
grades, and then save the file.
Note: Blank grades are acceptable. If you don't have grades for a student, that student may have withdrawn. The Official Final Grades tool will add Ws when you upload the spreadsheet.
- To upload the finished CSV file into
If the upload is successful, the grades you entered in the CSV file will appear automatically for each username. Make any final adjustments to the grades, including noting which Fs might need to be changed to FNNs or FNs with notes of Date Last Attended. If there is a problem, it may be caused by one of the following:
- The file must be a CSV file. If it isn't, you'll receive the error, "The file you have uploaded is not a CSV file. Please use the FinalGrades.csv template and try again."
- The first column must contain at least one username that matches a username in the Official Final Grades tool. If no usernames match, you'll receive the error, "The first column of your CSV file must contain usernames. Please use the FinalGrades.csv template and try again."

- To save a final grades submission in process, at the bottom of the
screen, click
Note: To make any changes after you've submitted your grades, you must contact the registrar directly.
. When you are sure that you have given a
letter grade to each student and are ready to submit your grades,
click . You must then click to confirm, or to abort.
- After confirming, you will see a confirmation number and date/time stamp at the top of the screen.
