Overview

OnBase is a vended document management system solution, produced by Hyland, and managed by the UITS Enterprise Business Process Solutions (EBPS) team (formerly Enterprise Document Management). OnBase is used by multiple departments at Indiana University to store document images and files on a central server. OnBase allows for the scanning, storage, and retrieval of paper documents, as well as the importing, storage, and retrieval of electronic files; it also helps manage workflow by routing documents to queues custom designed for individual departmental needs.

UITS has ensured that a university-wide enterprise license (ELA) is available. Any department, school, or campus can use the software via the ELA without cost. Scanners and other non-software license specific costs still apply. OnBase is approved for use with PHI and up to Critical data.

Important:

This UITS system or service meets certain requirements established in the HIPAA Security Rule thereby enabling its use for work involving data that contain protected health information (PHI). However, using this system or service does not fulfill your legal responsibilities for protecting the privacy and security of data that contain PHI. You may use this system or service for work involving data that contain PHI only if you institute additional administrative, physical, and technical safeguards that complement those UITS already has in place.
