About IU eTexts fees and appeals

Although IU eTexts fees appear as course fees on student bursar accounts and bills, UITS manages all charges, waivers, credits/refunds, and appeals.

Charges

When faculty members (or their Course Coordinator, program, department, or school) choose to teach with IU eTexts, the discounted costs for the selected materials will be charged to enrolled students' bursar accounts shortly before the first bill for the coming term is generated.

If a late IU eTexts adoption is approved (by the Course Coordinator, program, department, or school), the discounted costs for the selected materials will be charged to enrolled students' bursar accounts shortly before the next available bill is generated.

Additionally, a $4.00 "IU eTexts User Fee" is assessed once each term to every student enrolled in any class in which the instructor (or Course Coordinator) has ordered required class materials via IU eTexts. The collected funds cover the cost for UITS to administer the initiative.

Students who do not wish to use and be charged for IU eTexts materials should enroll in a class without an IU eTexts adoption. Alternatively, although it is academically risky, students may instead choose to opt out of IU eTexts fees.

Waivers

Students who have previously paid for a stand-alone eText via IU eTexts will not be charged again for that specific ISBN; "repeat" charges are waived from student accounts before the first bill is generated for the coming term.

Courseware and other digital learning tools titles are charged at a rate of one-term-access-at-a-time, so waivers are not granted for these types of materials.

Credits and refunds

Important:
Refer to the SIS Schedule of Classes and/or your class schedule for class-specific refund deadlines.

Students who drop or withdraw from a class with an IU eTexts adoption before the end of the refund period for the class (typically four weeks for a full term class, and two weeks for an 8-week or summer session class) will receive a 100% credit/refund of the IU eTexts fees. However, be aware that titles from CapSim, GoReact, HEC Montreal, and Responsive Learning Technologies are non-refundable after the first week of the class or on the first day of access, whichever comes first.

Credits/refunds are posted to student accounts the week after the drop/withdrawal is final/complete.

Appeals

Materials fees

Collected IU eTexts fees are paid to the publisher partners immediately following each refund deadline; thus, no fees for IU eTexts materials can be credited/refunded after the class's refund deadline.

If there are truly extraordinary circumstances before the class's refund deadline warranting special exception to the usual charging of fees for materials, students can submit an appeal via the IU eTexts Service Catalog. Be sure to include all necessary information. An appeal will not be granted for materials that the student has already accessed.

IU eTexts User Fee

If truly extraordinary circumstances warranting special exception to the usual charging of administrative fees exist, students can submit an appeal via the IU eTexts Service Catalog within one calendar year from the date of enrollment in the class. Be sure to include all necessary information.

Information to include in your appeal

In your appeal, be sure to include:

  • Specifics of the class (term, campus, subject, catalog number, class number)
  • Detailed timeline of events
  • Thorough explanation of the unique circumstance(s)
  • A reasoned and logical appeal directly relating to those circumstances
  • Rationale for electing not to take other actions/options
  • Complete and robust documentation as supporting evidence

Appeal decisions will be communicated via email within 5 working days. If a credit/refund is to be given, it will be posted to your bursar account within 30 days of the email notice.
