ARCHIVED: In Oncourse Matrices, how do I add an evaluation?

Important:
Oncourse is retired. For details, see ARCHIVED: About the Oncourse retirement.

As an evaluator, you can use the Matrices tool to access, review, and evaluate entire matrix cells or individual artifacts submitted by participants. You can also add evaluations from within the Evaluations tool; see ARCHIVED: Adding an evaluation using the Evaluations tool.

Note:
To complete these procedures, you must be assigned a role having the necessary permissions. If you're not sure what your role is, see the "Role" column in the Roster tool. For permissions, see ARCHIVED: What can I do in read-only Oncourse?

Evaluating an entire cell

  1. If you received email inviting you to provide feedback, click the link in the email message to go to the appropriate matrix cell. You will be asked to log into Oncourse if you are not already logged in.

You can also navigate to the matrix cell as follows:

    1. Log into Oncourse.
    2. Click the tab for the site containing the matrix. If you don't see the correct site listed, click More Sites.
    3. From the menubar, choose Matrices.
    4. From the list, choose the matrix you wish to evaluate.
    5. Choose the appropriate participant from the drop-down list. You will see a read-only copy of the matrix for the specified participant.
    6. Icons indicate cells with content added to them. Cells color-coded as "Pending" are ready for evaluation.
    7. Click a cell to open it. Read any instructions, and review the forms, artifacts, and attachments that have been submitted.

Note: If you are not an assigned evaluator for the cell, you will be unable to open it.

  2. In the "Evaluations" area, click Add.
  3. Complete the Evaluation form. You may be asked to fill in required fields, submit a grade or rating, and add a comment.
  4. When you are finished filling in the Evaluation form, click Save Changes. To exit without saving your evaluation, click Cancel.
  5. After saving your changes, you will be prompted to choose one of the following workflow options:
    • Set Status to "Complete": Choose this option if no further work is required and the evaluation process is complete. The "Items", "Reflections", and "Evaluations" areas of the cell will be locked.
    • No Changes to Status: Choose this option if you or other evaluators will be adding further evaluations to the cell.
    • Set Status to "Returned": Choose this option to unlock the "Items" and "Reflections" areas of the cell, so the student can revise, delete, or add attachments, forms, and reflections. This option is functionally the same as resetting the cell to "Ready", but uses different color-coding to show the student that the cell has been reviewed and needs further work.

Choose the appropriate radio button, and then click Submit.

  6. You will be returned to the cell with which you were working. Click Return to Matrix to return to the matrix.

Evaluating individual artifacts

Some matrices are configured to permit "item-level evaluation"; that is, the evaluation of specific artifacts in the "Items" area of the cell (as opposed to evaluating the entire cell). Item-level evaluation can occur at any time, regardless of the status of the cell.

To add an item-level evaluation:

  1. Navigate to the matrix cell containing the item(s) you wish to evaluate. See step 1 in Evaluating an entire cell above for detailed instructions.
  2. Locate the item you wish to evaluate in the "Items" area of the cell. Click Add Evaluation to the right of the item name.

Note: The Add Evaluation link only appears in cells where item-level evaluation has been enabled.

  3. Complete the evaluation form. You may be asked to fill in required fields, submit a grade or rating, and add a comment.
  4. When you are finished filling in the evaluation form, click Save Changes. To exit without saving your evaluation, click Cancel.
