About the Umail upgrade

Overview

Beginning March 11, 2018, UITS will upgrade Umail, the student email system, as the infrastructure powering Umail is no longer being updated. Student mail will be upgraded to the Google at IU environment. Former students are not affected.

Important:
Google at IU Gmail will be available on March 11, 2018. Until that time, you will only be able to access Umail to read your email.

After the upgrade, your student mail (Gmail at IU) will be accessible through IU and Google login portals, or by using a desktop or mobile client. Umail will be inaccessible, returning an error if you try to log in after your email has been migrated.

This change will make your mail available with other Google applications (e.g., Sheets, Docs, Drive, and Groups), and allow you to log in with the same IU username and passphrase you use for other IU services.

Your Umail email address

Former students: At this time, no changes will be made to your IU email account. Email sent to username@umail.iu.edu will continue to deliver to your Umail account as usual during and after the migration. There will be no disruption to your email delivery and your email address will not change.

Current students: During the migration, any email sent to your username@umail.iu.edu address will deliver to both your Umail and Google at IU Gmail accounts. After the migration, any email sent to your username@umail.iu.edu address will deliver to your Google at IU Gmail account. There will be no disruption to your email delivery.

Action you need to take

Important:
If you haven't yet logged into Google at IU and agreed to Google's Terms of Service, you must do so before March 11, 2018. You'll be prompted to agree immediately after login. Your mail cannot be moved if you haven't completed this action.
  • Now: In Umail, begin deleting larger attachments that you no longer need; this will help your email transfer more quickly during migration. UITS recommends deleting items larger than 5 MB. To find larger items in your Inbox and Sent messages, when signed into umail.iu.edu in a web browser, type larger:5m into the search box at the top of the page. Press Enter, and any items larger than 5 MB should appear. Back up any content you wish to keep, and delete the email message from Umail.
  • Now: When the upgrade is complete, you will no longer be able to sign into mail with your Umail (username@umail.iu.edu) address. UITS recommends that you discontinue sharing your Umail address and begin using username@iu.edu or a campus-specific email address (username@iupui.edu, username@indiana.edu) right away.   • Now: Notify the people with whom you regularly communicate that your email address will be changing to either username@iu.edu or your campus-specific address, and suggest that they update their personal address books.
  • Now-March 10, 2018: If you wish to transfer your existing Umail contacts to your new account, you'll need to prepare by exporting them to a .csv file while you still have Umail access.
  • Now-August 20, 2018: If you use Umail, UITS strongly encourages you to begin transferring your Google Drive and your Umail Calendar items from Umail to Google at IU. Drive and Calendar will be available in both the Umail and Google at IU environments until August 20, 2018. After that date, Drive and Calendar will only be available via Google at IU.
  • Now: If you used username@umail.iu.edu to sign up for any outside apps (e.g., Instagram, Twitter, Slack, Dropbox), you'll need to change your email address in those apps to username@iu.edu (using your IU username). You typically do this in the account settings for each app.
  • After your mail is migrated: Update the email configuration in your mobile devices (e.g., phones, tablets), as well as desktop email client software (e.g., Mail for Macs, MailBird, Inbox for Gmail).

During the mail transfer

  • Access your email during the transfer beginning March 11:

    Be aware that during the upgrade, access to Umail via mobile and desktop clients using vendor passwords will be unavailable.

  • Receive mail during the transfer: If you typically send and receive email at username@umail.iu.edu, you will need to begin using your campus email address instead. For help finding your campus email address and for additional instructions, see Change your primary email address and set delivery for your email addresses. Any email sent to your IU email address during this timeframe will be available in Gmail at IU. If you typically receive email at a campus address (username@iupui.edu, username@indiana.edu, username@iu.edu, etc.), you will continue to receive your email without additional action.
