Move content between Microsoft and Google institutional storage locations

Overview

These instructions describe ways to move data between Microsoft Storage and Google Storage locations, including:

Important:

Move data using Google Drive for desktop and the OneDrive sync client

One way to move data between these locations is by using Drive for desktop and the OneDrive sync client:

  1. If you need to create institutional storage in the destination location, do so following the directions in Request institutional storage in Microsoft shared storage.
  2. Set up Drive for desktop so that your institutional storage location is accessible via the file explorer on your device. For directions, see About Google Drive for desktop.
  3. Set up OneDrive so that your institutional storage location is accessible via the file explorer on your device. For directions, see Access and manage your Microsoft 365 files.
  4. Once both locations are mapped, highlight, right-click, and copy the files that need to be moved from the source location, and then right-click and paste them into the destination location.
    Important:
    UITS highly recommends doing a copy operation rather than a move, in case errors occur. You can then also verify that the data is copied by checking the website; however, be aware that it may take a bit of time for the changes to be uploaded server-side. If a large amount of data needs to be copied, consider copying the data in batches.

Move data via a download/upload

You can move data from one location to another by downloading the data, and then uploading it to the new destination.

Important:
Be aware that this process will cause loss of file metadata (such as file type, size, storage used, etc.).

For details on limits for how much data can be downloaded and uploaded at once via a browser, see:

  1. If you need to create institutional storage in the destination location, do so following the directions in Request institutional storage in Microsoft shared storage.
  2. Navigate to the website for the service that currently houses the data; see Access and manage your files in Google at IU or Access and manage your Microsoft 365 files, depending on which service you are accessing.
  3. Download the data onto your device.
    Note:

    In both services, it is possible to download an entire folder at once as a .zip file, which moves all the files into one folder. You can then right-click and select Download.

    Decompress the .zip file so that it is a folder:

    1. Right-click the file.
    2. In Windows, select Extract All. In macOS, double-click.
  4. Navigate to the website for the service to which you are moving the data; refer to Access and manage your files in Google at IU or Access and manage your Microsoft 365 files, depending on where you are moving data.
  5. To upload the data, select the options under/near "New".

Other methods

You might use a combination of the above methods:

  • One option is to map the source service with the sync client, and then use your browser to upload data to the destination service, or vice versa.
  • Third-party clients are available for syncing Microsoft Storage and Google Storage locations. In some cases, particularly if a large amount of data is involved, third-party clients may provide smoother data migration.
