About the IU Cloud Storage Portal

Overview

The IU Cloud Storage Portal provides a way for you to choose from among several locations in the cloud to store your files. The storage locations you select are available to you when you're using IUanyWare or any IU-build workstation, including those in the Student Technology Centers (STCs) and in many departmentally managed computing labs.

Once your files are saved in one of several available cloud locations, the files are accessible via nearly any computer or handheld device with internet access and a web browser, reducing the need for multiple copies of your files or additional disk space on your computer or mobile device.

Set your storage preferences

Log into the Cloud Storage portal with your IU username and passphrase to set your storage preferences; the storage options you choose will then be available to you the next time you log into IUanyWare or use any IU-build workstation. To get started, click Set Preferences.

Important:

Not all the cloud storage options below are appropriate for use with institutional data. If your work involves institutional data, you must select a UITS service that is appropriate for storing that data.

Official classification levels for institutional data at IU are defined by the university's data management rules and policies. If you have questions about the classifications of institutional data, contact the appropriate Data Steward.   • Your IU Box account: To allow IUanyWare or any IU-build workstation to automatically access your IU Box account, click Authorize, and then click Grant access to Box.
    • If you don't have an IU Box account, see Get started with Box at IU.
    • Personal (non-IU) Box accounts are not appropriate for use with institutional data at IU. If you have a personal (non-IU) Box account, access it either through your browser or with the appropriate Box app for your device.
  • Your IU file shares: To choose your own established file shares on IU systems, enter your IU file share into the box and click + (the plus sign).

    For relevant policies about storing institutional data on your IU file share, check with your school or department.

  • Your Dropbox: To access your Dropbox account, click Authorize. Enter your email address and your Dropbox password, and then click Sign in.

    If you do not yet have a Dropbox account, go to the Dropbox website, click Sign up for free, and then follow the on-screen instructions.

    Dropbox accounts are not appropriate for use with institutional data at IU.

  • Your Google Drive at IU: To access your Google Drive at IU account, click Authorize and select your Google at IU account (e.g., username@iu.edu).

    Personal (non-IU) Google accounts are not appropriate for use with institutional data at IU. If you have a personal (non-IU) Google account, see Resolve conflicts between Google at IU and personal Google accounts.

  • Your OneDrive: To access your personal OneDrive account, click Authorize. Enter your email address and your OneDrive password, and then click Sign in.

    If you do not yet have a personal OneDrive account, go to the OneDrive website, click Sign up for free, and then follow the on-screen instructions.

    Personal (non-IU) OneDrive accounts are not appropriate for use with institutional data at IU. For information about getting an IU OneDrive for Business account, see OneDrive for Business in Office 365.

Note:
To reverse a previously authorized storage option, click Deauthorize.

More information

  • It may take up to 30 seconds for files uploaded or downloaded from another source to be reflected in IUanyWare or on the IU-build workstation you are using.
  • Individual file sizes are limited to 500 MB (150 MB for Dropbox).
  • If you have trouble with an IU file share, double-check the path, or check with the system administrator for that file share.
