About Microsoft OneDrive at IU

Overview

Microsoft OneDrive at IU is a cloud storage service included with Microsoft 365 where you can store, share, and sync your files. OneDrive storage is approved for Public or University-Internal data, and certain types of Restricted data. For details about which data are allowed, see About dedicated file storage services and IT services with storage components appropriate for sensitive institutional data, including research data containing protected health information. OneDrive accounts for students, faculty, and staff offer 5 TB of storage.

Access Microsoft OneDrive at IU

There is no setup to access OneDrive, unless you wish to sync files to your computer or mobile device (refer to the appropriate instructions on this page).

  1. Go to Microsoft 365 at IU .

  2. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

  3. Above "Home", select the app launcher icon (Microsoft app launcher (nine dots)), and then select OneDrive. This should allow you to access files in both Microsoft OneDrive at IU and in shared sites associated with Microsoft Teams and Microsoft Secure Storage. Sync OneDrive files

Note:
OneDrive sync is an appropriate way to work on all Teams and OneDrive data from a secured, managed workstation. Critical or Restricted data should not be synced to unmanaged devices (for example, personal laptops, smartphones, tablets, personal digital assistants, thumb drives) without prior formal written approval and appropriate technical safeguards. If you have questions about whether your workstation is an appropriate location for your data, contact your IT Pro.

You can view and update documents saved in the cloud using OneDrive from just about anywhere. Follow the appropriate instructions for the device you wish to sync:

Windows

To sync OneDrive files with your Windows computer, you need the OneDrive sync app (included in Windows and also available for download as a stand-alone client).

  1. Using a supported web browser, go to Microsoft 365 at IU and choose Log in.

    If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

  2. On the sidebar above "Home", select the app launcher icon (Microsoft app launcher (nine dots)).
  3. Choose OneDrive to open OneDrive.
  4. At the bottom left, select the link to switch to Classic View.
  5. While in Classic View, at the top, choose Sync.
  6. When prompted, choose Sync now.
  7. A "Launch Application" window should open. If you have the OneDrive sync app installed, select it and choose OK.
  8. When the OneDrive sync app opens, you can choose to change where the files will be synced locally. When you have confirmed the settings, select Sync Now.
  9. The OneDrive sync app will download a copy of your files hosted in the cloud, and sync them to the specified location on your computer, in a local OneDrive folder named OneDrive - Indiana University.

    This folder will be kept in sync with your OneDrive storage; changes you make in one place will sync with the other.

macOS

To sync OneDrive files with your Mac, you'll need to get the OneDrive app from the Mac App Store.

If you've never had an individual account signed into OneDrive, follow these steps. If you already have an individual OneDrive account signed in, skip to the next section.

  1. To start OneDrive, press Command and the Spacebar to launch a Spotlight query. Type OneDrive. Choose Sign In.
  2. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

  3. After you have successfully logged in, follow the prompt to choose a OneDrive folder location. The local folder will be named OneDrive - Indiana University.

    This folder will be kept in sync with your OneDrive storage; changes you make in one place will sync with the other.

  4. Follow the prompt to either download all files and folders in your OneDrive storage, or choose which folders to sync. When you're ready to finish the setup, choose Next.

When you have an individual account signed into OneDrive:

  1. To start OneDrive, press Command and the Spacebar to launch a Spotlight query. Type OneDrive.
  2. Select the OneDrive cloud icon in your menu bar, and then select Preferences.
  3. From the Account tab, choose Add a Business Account. Select Use Another Account.
  4. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

  5. After you have successfully logged in, follow the prompt to choose a OneDrive folder location. This local OneDrive folder will be named OneDrive - Indiana University.

    This folder will be kept in sync with your OneDrive storage; changes you make in one place will sync with the other.

  6. Follow the prompt to either download all files and folders in your OneDrive storage, or choose which folders to sync. When you're ready to finish the setup, select Next.

iPhone and iPad

  1. Download the OneDrive app from the App Store. UITS recommends the app with this name to have all the latest features.
  2. Tap Sign In.
  3. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

You can now view files stored in your OneDrive cloud storage. To open a Word, Excel, or PowerPoint document, you must have Word, Excel or PowerPoint installed on your device.

Note:

Word, Excel, and PowerPoint apps are available as free downloads from the App Store as part of your Microsoft 365 service. To access your Microsoft 365 account from these apps:

  1. After installing Word, Excel or PowerPoint from the App Store, open the app.
  2. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

Android

  1. Download the OneDrive app from the Google Play Store.
  2. Open the app and tap Sign In.
  3. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is), and then, at the password prompt, enter your IU passphrase. (Do not select anything on the sign-in pages other than Next and Sign in.) When prompted, confirm your identity with Two-Step Login (Duo), and then choose whether to stay signed into your Microsoft 365 account.

    You can now view files stored in your OneDrive cloud storage. To open a Word, Excel, or PowerPoint document, you must have Word, Excel or PowerPoint installed on your device.

Note:

Word, Excel, and PowerPoint apps are available as free downloads from the App Store as part of your Microsoft 365 service. To access your Microsoft 365 account from these apps:
