Submit final grades from Canvas via a file upload

Before you begin

UITS has developed a custom tool that exports a .csv file compatible with the SIS Grade Roster file upload option. To export grades from Canvas and upload them to your midterm or final grade roster, follow the instructions below.

Notes:
  • While it is possible to submit final grades via a file upload, it is much easier to transfer grades directly from Canvas to the SIS Grade Roster. For details and instructions, see Load final grades from Canvas into the SIS Grade Roster.
  • You can't submit final grades until the final grade roster is available for each term; the Office of the Registrar will email instructors when rosters are available. For questions about roster availability, grade submission deadlines, or submitting final grades after the deadline, contact your campus Office of the Registrar.

  • If you need to make changes to assignment grades in Canvas after you have loaded grades into the SIS Grade Roster, load the grades into SIS again before submitting them. If your changes were made after submitting the final grade roster and they resulted in discrepancies between calculated course grades in Canvas and submitted grades in SIS, initiate an eGrade Change Request for each affected student.

Export calculated grades from Canvas

To export final grades from Canvas:

  1. In Canvas, missing or empty grades do not count toward the calculated final grade. If you want to penalize a student for not completing a graded activity, you must enter a grade of 0 for that activity. To excuse a student from a graded activity, leave the grade blank. Review all empty grades in your gradebook and zero out missing grades if necessary.
  2. If you haven't already done so, confirm or edit the grading scheme for your course gradebook. See How do I add a grading scheme in a course? and How do I enable a grading scheme for a course?.
  3. From the course navigation menu, click Grades.
  4. In the Canvas Gradebook, click IU Grading Tools and select Export Grades for SIS.
  5. You will be prompted to open or save the file. Save the file to your local storage device.
    Note:
    Do not open and save the file in Microsoft Excel. Excel removes the leading zeroes from student ID numbers, which will prevent the SIS import from working.

Import final grades into SIS

To import final grades into SIS:

  1. In Canvas, navigate to your course. From the course navigation menu, click SIS Grade Roster. This tool is visible only to instructors.

    The Faculty Center will initially display information for the current term and campus. To select a different term or campus, click Change Term or Campus and select the appropriate term or campus.

  2. If your course only has one section, a new tab will open displaying the SIS grade roster for that section.

    If your course contains cross-listed sections:

    1. The SIS Faculty Center will open in a new tab. In the "Class" column, locate the course section for which you would like to enter grades.
    2. To open the grade roster for that section, click Grade Roster in the course section's row.
  3. On the "Grade Roster" screen, click Load Grades from File to Roster.
  4. Click Browse to locate and select your final grades file.
  5. Once the filename displays in the text box, click Upload. The system will attempt to load the file. You should see the following message, where "Y" is the number of records in the file and "X" is the number of records loaded:

    Loading X Records out of Y Read. Would you like to continue?

    Click OK.
  6. Verify that all grades loaded, and click Save.
  7. Compare the grades in the SIS Grade Roster with the calculated course grades in the Canvas gradebook to make sure they are identical.
  8. In the "Grade Input" column, review the grades and adjust the values as necessary. You can assign special grades such as FN (for students who stopped attending), FNN (for students who never attended), I (for incomplete), R (for deferred), Academic Misconduct, and so on. Click Save periodically to save your changes.
    Note:
    If you assign a grade of FN, you must also provide the date of last attendance. The "Last Date Attended" field will appear when you click Save.
  9. If your grade roster has a "Requirement Designation (RD) Grade" column (for RISE designations, intensive writing requirements, etc.), set the RD grade for each student. Click Save periodically to save your changes.
  10. If you selected one or more grades for academic misconduct, you'll see a pop-up window to confirm that you intend to assign academic misconduct for the student(s) in question. Click OK to submit the grades to the registrar or Cancel to return to the roster to make adjustments.
  11. When all required fields are completed and you are satisfied that all grades are correct, click Approve and Submit to Registrar.

If your Canvas course has cross-listed sections, click Return to go back to the Faculty Center. Repeat steps 2 through 10 for each section.
