Configure Exchange Online with Outlook for macOS or Mac Mail

Overview

Notes:
  • Follow these instructions to configure your device if you've been migrated to Exchange Online. If you haven't yet been migrated, see Set up Outlook for macOS to access your IU Exchange account.
  • In order to use Apple Mail in IU's Exchange Online environment, you'll need macOS 10.14 or higher, which is required to support Modern Authentication. Modern Authentication has ended support for Apple Mail on macOS High Sierra 10.13 and older versions.

Microsoft Exchange Online is a hosted messaging solution that delivers the capabilities of Microsoft Exchange Server as a cloud-based service, allowing you to access email, calendar, contacts, and tasks from your personal computer, the web, and mobile devices. Exchange Online integrates fully with Active Directory, enabling administrators to use group policies and other administration tools to manage its features across their environment. Though hosted by Microsoft, Exchange Online is still managed by the IU Exchange administrators and meets the same security and privacy guidelines as traditional, on-premises Exchange.

Important:
IU's Exchange Online environment does not support IMAP. For email configuration instructions, including details for those using Linux and Thunderbird, see Configure your email client for Exchange Online.

In macOS, many online accounts, including Exchange, can be set up in System Preferences, available to installed applications.

Note:
If you're preparing for Exchange Online before your migration and want to try changing your credentials, try switching to username@iu.edu. Depending on the client you are using, authentication may fail or you may get an error. If so, instead try ads\username or ads.iu.edu\username. You will then have to wait until after you've been migrated to update your username.

Follow the appropriate instructions below to set up your Exchange Online account with macOS.

Set up Exchange Online in System Preferences for Mac Mail

To set up Exchange Online in System Preferences for Mac Mail:

  1. Click the Apple menu, and select System Preferences.
  2. Double-click Internet Accounts.
    Note:
    If you already had your Exchange account set up and have been migrated to Exchange Online, select the old Exchange account and click the - (minus sign) in the lower-left corner of the window to remove it before you proceed.
  3. From the options on the right side of the "Internet Accounts" dialog box, choose Exchange.
  4. In the setup dialog box that appears, enter your name and IU email address as username@iu.edu (not a regional campus email address), and then click Sign In.
  5. If you are prompted with options for Configure Manually or Sign In, choose Sign In.
  6. In the IU Login dialog box that appears, sign in with your IU passphrase. You may also be prompted to authenticate with Duo.
  7. In the next dialog box, select the Exchange items you want the store to be able to access, and then click Done. You will be returned to the "Internet Accounts" dialog box with your Exchange account listed on the left. Your Exchange Online email is now configured for Mac Mail and Calendar.
Note:
If you experience an error when adding your email address, try entering it as username@exchange.iu.edu in the address field and username@iu.edu in the username field.

Set up Exchange Online in Outlook for macOS

To set up Exchange Online in Outlook for macOS:

  1. Open Outlook by either searching for Outlook with the Spotlight menu, or, if an icon is in your dock, click the icon in the dock.
    Note:
    If you already had your Exchange account set up and have been migrated to Exchange Online, go to Outlook > Preferences > Accounts and select the old Exchange account, and then click the - (minus sign) in the lower-left corner of the window to remove it before you proceed. If this does not remove the old account, you may have to add a new profile to Outlook for Mac.
  2. If you are setting up Outlook for the first time and/or have deleted old profiles using the directions in the note above, you should be prompted with the option to add your Exchange account (likely listed as just your IU username or as username@iu.edu). Click Add [your username or email address].

    If you are not prompted with the option to add your Exchange account, go to Outlook > Preferences > Accounts and click Add Email Account, then enter your IU email address as username@iu.edu (not a regional campus email address), and then click Continue.

  3. Log in using your passphrase and Duo if prompted (if you have logged in previously, it may simply continue). Outlook should then display "Connecting to Office 365", followed by a message saying "[your account] has been added".
  4. Click Done, or to add additional accounts, click Add Another Account and follow the prompts.
  5. You may need to authenticate once more with Duo. After a few seconds, your Exchange account will populate in Outlook.
