To manually move some or all messages from a Cyrus (Webmail) account to an Exchange account, you can use any of the following methods:


Use Outlook to export and import an archive

You can use Outlook to create an archive (.pst) of your Cyrus mail and then import that archive into Exchange. This will preserve the dates and folder structure of your email, and is often the most convenient way to transfer your Cyrus mail.

Use Webmail to redirect or forward select messages

Redirecting messages will preserve each message's original date, time, and sender when sending it to your other account, while forwarding messages will apply current date and time stamps to messages you forward, rather than the date and time when messages were originally sent to you. Forwarded messages will appear to come from you rather than the messages' original senders.

Redirecting

To redirect a message from your Cyrus account using Webmail:

  1. Log into Webmail, and open the message you wish to redirect.
  2. Above the message, click Redirect.
  3. In the "To:" field, enter the appropriate address. To redirect to your preferred IU email service (e.g., Exchange or Umail), enter your IU email address.
  4. Click Redirect Message.

Note: If you plan to use the Microsoft Outlook client (not Outlook Web App) to read your Exchange mail, be aware that by default, Outlook sorts by date received, not date sent. If you redirected messages from Webmail, the date and time received is when the message arrived in your Exchange account. To sort by date sent in Outlook 2013:

  1. Enter the VIEW tab and click View Settings.
  2. Click Sort....
  3. In the window that opens, under Sort items by, choose Sent. Then click OK twice to sort by date sent.

Forwarding

To forward a single message from your Cyrus account using Webmail:

  1. Log into Webmail, and open the message you wish to forward.
  2. Above the message, click Forward.
  3. In the "To:" field, enter the appropriate address. To forward to your preferred IU email service (e.g., Exchange or Umail), enter your IU email address.
  4. Click Send Message.

To forward multiple messages from your Cyrus account using Webmail:

  1. Log into Webmail. In the Inbox, use the checkboxes to select the messages you wish to forward.
  2. Above the Inbox messages, click Forward.

    Note: If you receive a pop-up blocker error, make sure your browser allows pop-ups for webmail.iu.edu. Additionally, you may need to open the Message Composition window by clicking Compose prior to forwarding multiple messages.

  3. In the "To:" field, enter the appropriate address. To forward to your preferred IU email service (e.g., Exchange or Umail), enter your IU email address.
  4. Click Send Message.

Note: Forwarding multiple messages from Webmail will place all the selected messages as attachments into a single email message.

Use an email client to drag and drop your messages

  1. Use a computer on campus, especially if you use Windows. If you cannot use a computer on campus, you will have to use a VPN connection and make additional configuration changes to access Exchange; contact your campus Support Center or your IT Pro for assistance.

    If you use Mac OS X, you do not need to be on campus or use a VPN connection; however, the speed and reliability of the IU network make an on-campus connection the best option if possible.

  2. Configure an email client to access both your Cyrus and Exchange accounts:
  3. Create folders in your Exchange account to match your Cyrus folders.
  4. Move your messages. Select all mail messages in each Cyrus folder and drag and drop them into the corresponding Exchange folder.

    Note: To keep copies of your messages in your Cyrus account (in case you encounter issues with this process), hold down the Ctrl key while dragging and dropping. In most email clients, this will force your email client to copy rather than move the messages from Cyrus.

    When transferring messages, keep the following in mind:

    • UITS recommends using a wired connection to the internet instead of a wireless connection. Wired connections are more stable and have less data loss.
    • You might occasionally see the Windows hourglass or the Mac spinning beach ball signifying that your computer's memory is being taxed, or a variety of failure and "not responding" messages. These messages will usually disappear if you allow the process to continue to run.
    • Check all folders and subfolders, including your Sent folder, for messages you want to keep.
    • UITS highly recommends right-click dragging and dropping the messages, and selecting Copy (not Move), so that if there are any issues with the transfer, the messages will not be removed from Exchange, and the transfer can be reattempted.
