About Microsoft Teams Calls at IU

Teams Calls provides office telephone service for faculty and staff at Indiana University.

In addition to phone service, Microsoft Teams provides many capabilities that are integrated with Microsoft 365 applications, and include:

  • Create teams and channels
  • Monitor team or project activity
  • Chat using instant messaging
  • Make audio or video calls, including audio or video conference calls
  • Store files
  • Share files
  • Share your desktop
  • See others' availability and manage the information others see about you

Timeline and communication overview

The migration from Skype for Business to Teams Calls occurred in three groups for three different types of accounts:

  • No phone number: All accounts without a phone number assigned (accounts that were eligible only for PC-to-PC calls) were moved between January 31 and February 6, 2023. Affected accounts received an email notification seven days before the migration and a reminder one day before the migration.
  • Phone numbers without IP phones or response groups: Accounts with office phone numbers assigned that do not use either an IP phone or a call response group were moved in batches between February 14 and March 2, 2023. Affected accounts received an email notification seven days before the migration and a notice the morning after the migration.
  • Phone numbers with IP phones or response groups: Accounts used with an IP phone or a call response group required coordination to replace or retire the IP phone and/or migrate the response group into a Teams call queue. The UITS Communications Planning and Implementation team worked with departments directly to schedule migration of these accounts. All migrations are complete as of June 30, 2023. These accounts did not receive automated mailings, since the interaction with the department was direct.

What to expect after your account is moved

When your account is moved:

  • Your Skype for Business client will no longer allow you to authenticate. You may see one of the following error messages:

    Can't sign in to Skype for Business The user name, password, or domain appears to be incorrect.

    Ensure that you entered them correctly. If the problem continues, please contact your support team.

    Can't sign in to Skype for Business

    You've tried to sign in too many times with an incorrect email address or password, or someone else is trying to sign in to this account.

    You should dismiss these messages and use Teams Calls for all future communications that you would previously have conducted in Skype for Business.

    If you wish, you can disable Skype for Business in your list of startup apps to prevent it from launching automatically.

  • After the conversion begins, it may take up to an hour for the dial pad to appear in Microsoft Teams. You may need to close and relaunch the app or restart your computer for it to appear.
  • All of your Skype for Business contacts, both internal and external, will be available from the Calls app in Microsoft Teams.
  • Call forwarding settings are not automatically transferred to Teams Calls. To recreate your settings in Teams, see Call forwarding, call groups, and simultaneous ring in Teams.
  • If you had enabled conversation history in Skype for Business, your IM conversations are stored in the Conversation History folder in Exchange, and they will remain there. In Microsoft Teams, all chats are persistent within the app. You can delete individual chat messages, but others in the conversation will see "This message has been deleted."
  • If you have logs of audio or video calls made in Skype for Business, they will remain in the Conversation History folder in Exchange. If you recorded any audio or video calls, those were stored on the hard drive of your computer; the default path should be:
    C:\Users\username\Videos\Lync Recordings

    In Microsoft Teams, you'll see a log of all types of calls (incoming, outgoing, or missed) on the Calls app.

Microsoft Teams obtains location information for emergency responders differently than Skype for Business. If you use macOS, you'll need to take action to make location information available in case you should need to use Teams Calls to call 911. UITS recommends that everyone review About emergency 911 calls with Microsoft Teams Calls and ensure that their location information is enabled and accurate.


This application is included in Microsoft 365, and you can access it from Microsoft 365 at IU .


You can use the Microsoft Teams web app in a fully supported browser (Chrome or Edge) for most Teams functions, including PC-to-PC calls, but the dial pad will not appear in the web app for IU employees with office phone numbers. If you want to dial by phone number, you'll need to install the app.

New Teams

Microsoft's new Teams client is now the default for Microsoft Teams at IU, and the classic Teams app is deprecated. If you encounter issues with the new app, select Settings and more () in the upper right of your Teams client to see if you have the option to toggle New Teams off. If you don't see a version toggle on your managed computer, ask your local UITS support person to contact the Endpoint Management team to manage this policy for you.

Most USB devices that worked with Skype for Business will also work with Teams Calls. However:

  • Departments may need to replace some IP phones with Teams-compatible models.
  • Some features of CX300 USB phones may not work as expected. For details, see Known issues with Microsoft Teams.

IU faculty and staff can obtain Teams-compatible devices (USB devices or IP phones) by going through their department telecommunications coordinators and/or their local UITS support people. For optimal functionality, Teams-compatible USB headsets are strongly recommended whenever possible. For more about available devices, see About office telephone equipment at IU.

To learn the name of your department's local UITS support person, consult your supervisor, your departmental website, or IT People. If you still cannot identify your local UITS support person, call the UITS Support Center at 812-855-6789 (Bloomington) or 317-274-4357 (Indianapolis).
