About Microsoft 365 at IU

Overview

Important:
If you buy a personal Microsoft 365 subscription from Microsoft, and later get a subscription through the university, IU cannot refund the cost of your purchase from Microsoft.

Microsoft 365 (formerly Office 365) is a subscription-based service that allows IU students, faculty, and staff to use the newest versions of Microsoft Office on their personal Windows and macOS computers, via the web with Office Online apps, and on their smartphones and tablets with Office Mobile apps. Your IU Microsoft 365 subscription allows you to install Microsoft Office on up to five personal computers (Windows and macOS), five tablets (Windows, iPad, and Android), and five phones. The subscription entitles you to use the software as long as your IU computing accounts are active; you are not entitled to use the software after you leave IU.

Features

Microsoft 365 includes:

  • Microsoft Office for Windows and macOS: The newest desktop versions of the Microsoft Office suite
  • Office Mobile apps: Scaled-down, touch-optimized versions of Microsoft Office for your smartphone or tablet
  • Office Online: Cloud-based versions of popular Microsoft Office apps
  • Microsoft OneDrive at IU: Personal cloud storage; for more, see About Microsoft OneDrive at IU.
Note:
Some Microsoft 365 features will not be used with Indiana University's deployment of Microsoft 365.

Access Microsoft 365

To access Microsoft 365, from a supported web browser, go to Microsoft 365 at IU. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is). At the password prompt, enter your IU passphrase. Do not click anything on the sign-in pages other than Next and Sign in.

Microsoft 365 offers several options for accessing Microsoft Office applications:

  • Install Microsoft Office: Microsoft Office is available for installation on Windows and macOS computers. Microsoft Office includes Word, Excel, PowerPoint, Outlook, Skype for Business, and Access (Windows only).
    • Windows:
      1. Log into Microsoft 365 at IU, and then, in the top right of your Microsoft 365 home page, click Install Office.
      2. Select Other install options, and then, under "Office apps & devices", click Install Office.
      3. Follow the on-screen instructions to complete your installation.
    • macOS:
      1. Log into Microsoft 365 at IU, and then, in the top right of your Microsoft 365 home page, click Install Office.
      2. Select Other install options, and then, under "Office apps & devices", click Install Office.
      3. Run the downloaded installation package and follow the on-screen instructions.
      4. After installation, open any Microsoft Office application and click the button to sign in.
      5. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is). At the password prompt, enter your IU passphrase. Do not click anything on the sign-in pages other than Next and Sign in.
      Note:
      Microsoft Office for Mac does not include Skype for Business. To install Skype for Business on a Mac, use IUware.

    To keep Microsoft Office activated, you must sign into your Microsoft 365 account at least once every 30 days:

    1. From any Microsoft Office application, choose Sign In at the top right.
    2. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is). At the password prompt, enter your IU passphrase. Do not click anything on the sign-in pages other than Next and Sign in.

    To access Microsoft 365 services from within a Microsoft Office application, you must sign into your Microsoft 365 account.

  • Office Online: The Office Online suite allows you to create and edit files using lightweight, web browser-based versions of Microsoft Office applications. The Office Online apps include Word, Excel, PowerPoint, OneDrive, and Microsoft OneNote. Click any app to launch it in your browser.
  • Office Mobile apps: The Office Mobile apps are scaled-down, touch-optimized versions of Word, Excel, PowerPoint, and Microsoft OneNote. To get Office Mobile apps:
    1. Download the Microsoft Office apps you want from your device's app store.
    2. After installation, open an app and click the button to sign in.
    3. If you see a "Sign in" prompt, enter your IU username followed by @iu.edu (do this no matter what your email address is). At the password prompt, enter your IU passphrase. Do not click anything on the sign-in pages other than Next and Sign in.
